Overview
The Senior Executive Assistant will serve as the direct administrative assistant to the Dean of the School of Music, aiding the Dean in the performance of all functions. These include communicating with personnel at all levels, planning and organizing meetings, maintaining the Dean’s office calendar, and arranging travel to maximize efficiency and effectiveness.
Responsibilities
Maintain and update the Dean’s calendar of activities and travel itineraries.
Develop and maintain file systems for appropriate handling, storage, and access to information, including confidential and restricted materials.
Assist the Dean’s office with the end‑to‑end process of planning, executing, and distributing School Prizes and Awards for students and external recipients.
Assist the Office of the Dean in the faculty hiring search process, including management of Interfolio and oversight of recruiting to promotion, following OFAS guidelines.
Support faculty administration functions such as preparing compensation forms, collecting required documentation, and recording extra compensation amounts in Workday.
Participate in the annual faculty salary update process, completing forms and entering data into Workday with accuracy.
Coordinate guest artist, performer, and lecturer invitations and related processes, including documentation, communications, and domestic/international travel arrangements.
Assist with international travel for visiting guests and new faculty hires, including procurement of documents, visas, and coordination with OISS.
Record and maintain all agency expenses in Workday with meticulous record‑keeping.
Coordinate large‑scale event planning, including Convocation, Commencement, Honors Banquet, and faculty and staff meetings.
Perform other related duties as assigned by the Dean, Director of Special Projects, and the School of Music.
Required Skills and Abilities
Excellent organizational and communication skills, including drafting routine communications and responding to correspondence professionally.
Proficient computer skills with Microsoft Word, PowerPoint, Excel, Mail Merge, Outlook Suite, and ability to learn new applications.
Effective multitasking and time management, managing a large volume of work in a fast‑paced environment with accuracy and proofreading competence.
Sensitivity to confidentiality, independent judgment under pressure, and proactive problem‑solving.
High level of interpersonal and service orientation, strong follow‑up skills, and the ability to relate comfortably to a wide range of individuals.
Preferred Skills and Abilities
Interest in music.
Experience supporting faculty.
