Responsibilities
Inbox and Document Management: Composes, edits and proofsreads correspondence, presentations and other documents while demonstrating exceptional technological/document production skills. Monitors lawyer’s inbox; organizes and responds per lawyer preferences; maintains Outlook folder structure; ensures client/matter related documents and emails are stored in iManage Workspaces. Organizes and maintains paper and electronic files in accordance with Firm records retention policies.
Calendar and Meeting Management: Demonstrates an exceptional understanding of Microsoft Outlook while utilizing creative problem solving to solve scheduling requirements. Manages multiple calendars and supports scheduling across multiple lawyers, clients, offices and time zones. Proactively coordinates internal/external meetings and arranges logistics (visitors, conference rooms, video conference and dial-in numbers as appropriate).
Travel: Arranges travel using agent-assisted and online tools and maintains up-to-date travel preferences (frequent flyers, Known Traveler Number, passport, etc.). Monitors lawyers’ travel to ensure smooth arrival and departure.
Client Service – Relationship Management: Provides superior client service with internal and external clients; assists with new client and new matter intake; acts as gatekeeper prioritizing conflicting needs; handles matters confidentially and follows through to completion. Maintains up-to-date client contacts in InterAction and manages lawyers’ practice to keep them well informed of upcoming commitments.
Billing Management: Develops subject matter knowledge of the billing process; creates and reviews draft diary entries; ensures timely submission and year-end deadlines; collaborates with billing coordinators to review proformas and finalize bills for client delivery.
Expenses and Invoice Management: Reconciles and processes expenses; reviews items to classify business and personal expenses; coordinates withChrome River/AMEX to address items within payment windows.
Project Management: Coaches lawyers to delegate non-billable tasks to the LEA to allow focus on legal work; supports document preparation, filing, notary services and related tasks.
Teamwork: Maintains open communication with teammates, cross-trains to ensure consistent service, and sustains professional relationships firmwide.
Training and Professional Development: Participates in team activities, focus groups, knowledge sharing, and adheres to firm best practices.
Other Responsibilities: Performs other work-related duties as assigned.
Qualifications
College degree or equivalent.
Expert proficiency with MS Office (Word, Excel, PowerPoint and Outlook).
Strong organizational skills with ability to prioritize multiple tasks and maintain high attention to detail.
Strong interpersonal skills and ability to build relationships with lawyers, staff and clients.
Expert written and verbal communication skills.
Proactive problem-solving and strong decision-making capability.

The anticipated pay range for this role is listed below and represents our good faith and reasonable estimate of the starting salary range at the time of posting. In addition, this role is eligible for a discretionary bonus based on performance. The actual offered rate for this position will be determined based on job-related, non-discriminatory factors, including qualifications and experience, geographic location, education, external market data and consideration of internal equity.
Boston, MA ($70,500 - $107,550)

This position requires hybrid on-site presence as an essential function of the role. Consistent and predictable on-site presence is required for ongoing business continuity, professional development and effective collaboration with colleagues and management.
