Front Desk Receptionist – Full Time (Portland, NW Location)

Schedule: Full-Time (Weekend availability required)

Fresh Faces Rx, a premier boutique medical aesthetic practice with locations in the Portland and Lake Oswego, is seeking a Front Desk Receptionist for our Portland location.

Our doctors, nurses, medical aestheticians, and front office staff work closely together to provide patients with the highest level of care possible. We are patient-focused and passionate about the work we do

About the Role

Fresh Faces Rx is looking for an outgoing, organized, and highly professional Front Desk Receptionist. We seek candidates who can communicate warmly and effectively during both telephone and in-person interactions. The ideal candidate will demonstrate exceptional communication skills, a positive attitude, and strong attention to detail.

We value team members with a strong work ethic, who are punctual, reliable, and maintain a professional appearance. The ability to handle busy or stressful periods with grace and ease is essential.

Experience in the medical aesthetics industry with knowledge of treatments such as Botox, dermal fillers, and skincare is highly desired. Front office experience is required.

Responsibilities

• Manage a busy multi-line phone system, including calls and text messages, experience with Weave a plus.
• Reply to email and text inquiries in a professional and timely manner.
• Check patients in and out for appointments and collect payments before or after visits.
• Process payments accurately and efficiently.
• Support retail product sales and maintain product knowledge.
• Manage provider schedules and assist with appointment coordination.
• Learn and effectively use the electronic medical record (EMR) system.
• Maintain HIPAA compliance and ensure patient privacy.
• Perform opening and closing duties of the practice.
• Support the team by assisting in other areas of the office as needed.
• Complete all assigned tasks in a timely and trustworthy manner.
• Collaborate with team members to ensure a seamless patient experience.

Skills & Qualifications

• Strong communication and interpersonal skills.
• Ability to adapt and problem-solve in fast-paced or changing environments.
• Proven sales experience in an aesthetic or similar customer-focused setting preferred.
• Familiarity with aesthetic treatments and skincare products is a plus.
• High School Diploma or equivalent required.
• Front office experience required; medical aesthetic experience preferred.

Schedule & Compensation

• Full-time
• Weekend availability required (Saturday & Sunday) and evening availability required
