Fast‑growing voice‑based AI startup is looking for an Executive Assistant to support the CEO & Co‑Founder. With their recent funding and explosive growth (from 25 people today to 100+ by early 2026), this is an incredible opportunity to make an outsized impact on the Office of the CEO. In this role, you'll own high‑volume, high‑stakes scheduling, be a gatekeeper of the CEO's time, oversee and draft communications, manage extensive travel and itineraries, provide meeting prep, organize dinners and events, and partner with and report to the Chief of Staff to ensure everything is running smoothly. You will also provide light coordination support to the CTO. Someone with a startup mentality who thrives in a supporting role – owning the core administrative function while also being a strategic partner – with a "do what it takes" mindset to support the team. Must have previous experience in high‑intensity, fast‑growing environments, ideally supporting senior leadership. This is an in‑office role based in San Francisco. Must be flexible for late nights and weekends as needed. 150-190K+ DOE + excellent benefits, catered lunches.
Responsibilities:
Own high-volume, complex scheduling and calendar management for a CEO. Coordinate high‑stakes meetings where every conversation matters—navigating flight changes, double bookings, last‑minute shifts, and competing priorities.
Act as a blocker and gatekeeper of the CEO's time, protecting his calendar and ensuring he's focused on the highest‑impact activities.
Manage extensive travel and detailed itineraries, thinking through trip logistics end‑to‑end. Coordinate meetings seamlessly across cities, ensuring the CEO's time is optimized during travel. Handle last‑minute changes and complications with calm problem‑solving and quick pivots.
Partner closely with and report to the Chief of Staff to establish best practices for the Office of the CEO to ensure everything runs seamlessly.
Provide meeting prep and briefing materials, ensuring the CEO is prepared.
Anticipate the CEO's needs and stay several steps ahead of what's coming.
Organize dinners and events, managing all logistics and vendor relationships with meticulous attention to detail.
Light person support to ensure the CEO is supported holistically through booking appointments, reservations, ensuring prepared for travel, etc.
Provide light support to the CTO with calendar and travel coordination.
Qualifications:
4+ years of previous Executive Assistant experience supporting C‑level executives in high‑intensity, fast‑growing environments, ideally startups, venture, or similar industry.
Experience in high‑performing environments and know what operational excellence looks like to bring those best practices and framework to the Office of the CEO.
Ability to be a gatekeeper and set boundaries to protect the CEO's time and focus.
Calm under pressure with the ability to juggle high‑stakes, complex scheduling.
Ability to anticipate needs, forward thinker, and comfortable with ambiguity.
Proactive problem‑solver who brings structure to fast‑moving environments. Ability to intuitively shift gears quickly as priorities change.
Strong organizational skills with great attention to detail.
Strong interpersonal skills and EQ.
