Duties & Responsibilities

Process order requests from faculty, staff, and students via i-Buy, Banner, phone, and online systems.

Serve as liaison with the Purchasing Department and answer vendor, faculty, staff, and student inquiries regarding order status and purchasing policies.

Manage business office transactions, including Purchasing Card and Travel Card transactions, reconcile through the Chrome River system, process reimbursements, and handle vendor payments. Coordinate with University Payables, Corporate Card Office, and Bank of America.

Coordinate travel arrangements for faculty, staff, students, and departmental visitors and act as liaison between the department and internal staff, external units, and outside agencies.

Maintain comprehensive and accurate records of business office transactions and departmental commitments, generate reports in Excel, track expenditures, and correct discrepancies; answer inquiries regarding allowable business expenses and university policies.

Manage department office supplies, including swag and food/beverages for events.

Handle incoming and outgoing mail and packages, notifying faculty when packages arrive.

Create, update, revise, and retrieve files and records—some of which may contain confidential materials. Generate departmental forms, labels, codes, and vouchers to support department functions and modify existing files to improve office procedures.

Perform additional related duties and participate in special projects as assigned.

Minimum Qualifications Required

High school diploma or equivalent.

A minimum of eighteen (18) months of experience in categories such as college coursework or relevant office/clerical work, as measured by the conversion table below:

30 semester hours equals one (1) year (12 months).

Associate’s Degree (60 semester hours) equals eighteen (18) months.

Work experience performing office/clerical activities, including computer system use.
