Harris Psychiatric Hospital. Responsibilities for the Administrative Assistant:
- Plan and coordinate the daily office functions for the Division of Administrative Services. Develop and/or implement recommendations focused on procedural improvements. Ensure appropriate liaison communication for the Director of Administrative Services, and other organizational components and individuals within the hospital. Maintain the daily calendar of the Director of Administrative Services, as necessary, to ensure continuity in operations. Assist the Director of Administrative Services in the preparation for surveys and audits by state, federal and other licensing or accrediting agencies. Assist the Office of the Hospital Director in preparation of surveys and audits as needed. Comply with all legal responsibilities and requirements.
- Screen telephone calls and uses judgement in forwarding telephone calls to appropriate staff. Review incoming correspondence to determine what should be processed personally and use judgement to forward the remainder of correspondence, reports and documents through tickler system; develop, modify and maintain filing system. Develop forms unique to a specific issue when appropriate for facility use.
- Monitor end dates for professional contract renewals and ensure professional contracts are updated for approval, corrected as needed, and filed accurately. Reconcile contract staff invoices and timesheets for processing of payments.
- Initiate the agenda and take notes at meetings chaired by the Director, Administrative Services, afterwards composing minutes and distributing them in a timely manner. Type from handwritten notes and transcribes in a wide variety of formats.
- Update the Administrative Services' copy of the HPH Policy and Procedure manual with new/revised policies.
- Update Yodeck, our internal video monitor platform, with announcements and relevant content for staff.
- Assist the Office of Hospital Director in the absence of the Administrative Assistant as needed with taking minutes of meetings and composing the minutes, retrieving the mail, distributing reports, and reconciling assigned time-keeping records.
- Maintain clinical competency by mastering required mandatory and non-mandatory in-services or training, such as MAPS/MANDT, CPR, and SCEIS Modules.
- Perform other related duties and special projects upon request by the Director of Administrative Services.
Minimum and Additional Requirements
- A bachelor's degree and one (1) year responsible clerical or administrative experience; or high school graduation and five (5) years' responsible clerical or administrative experience.
- Ability to stand, walk, sit for long periods of time. Ability to use office equipment and computer, stoop, bend, push, pull, and must be able to walk up 2 to 3 flights of stairs. Must be able to lift up to 50 pounds
Preferred Qualifications
- Bilingual abilities in English and Spanish (or another language) are a plus.
