Responsible for the overall supervision, coordination, planning, evaluation, and monitoring of the practice.
Assume overall responsibility for administrative and clinical operations, including clinical practice, protocols and pathways, clinical triage, patient education content/process, performance and quality improvements, etc. for the practice.
Implement and maintain organizational policies and procedures pertaining to personnel, federal and state regulations, daily operations, and support of medical care.
Primary Duties and Responsibilities
Develop department goals, objectives, policies, and procedures; provide oversight and management for daily operations and medical office and ensure patient access to care. Ensure compliance with business unit policies and procedures and governmental and accreditation regulations.
Provide input to Director to develop an operating budget and work to operate within that budget.
Supervise all non-provider staff within the office; select, train, orient, and assign department staff. Develop standards of performance, evaluate performance, and conduct performance management planning. Initiate or make recommendations for personnel actions. Maintain ongoing communication with subordinates to review programs, provide feedback, discuss new developments, and exchange information.
Act as patient advocate and address concerns to attain maximum patient satisfaction.
Assess the education needs of patients related to their condition. Develop and/or implement a health education plan for each patient/family unit and for groups of patients.
Assume overall responsibility for administrative and clinical operations, clinical practice, protocols, office workflows to provide consistent, safe, quality, patient-centered care.
Ensure staff is properly trained and identify the need for additional skills training for all associates. Ensure all medical office staff is trained in emergency procedures. Adhere to the MedStar performance management cycle to evaluate and actively manage associate performance. Actively encourage associate growth and development.
Maintain positive, productive, and professional relationships within the practice and between the providers and the healthcare system. Prepare the medical office for the addition and departure of providers; ensure smooth operational transitions. Assist with growth and development of the practice and MMG by marketing to the public and other providers. Coordinate and lead meetings with the providers and staff on a regular basis to keep the team informed of MHS and MMG goals, practice goals, and policy changes.
Ensure patient satisfaction with the medical group's performance on all levels. Respond timely to patient concerns and requests for information. Engage in service recovery activities as appropriate. Routinely review CGCAHPS data and develop action plans to address areas for improvement.
Coordinate the schedule for new providers and modify existing provider schedules as appropriate. Monitor provider scheduling practices and staffing levels to ensure patient needs and financial goals are met. Monitor provider schedules on a daily basis to maximize appointment availability and ensure same-day access is available.
Collaborate as part of the primary medical care team to formulate and document ambulatory care plans for patients and families. As needed, complete nursing assessments and conduct ongoing assessments of patients and families. Evaluate patient progress, convey information to the physician, and coordinate appropriate follow-up actions.
Process telephone inquiries, perform telephone triage, and document patient phone calls.
Provide direct patient care, as needed, including, but not limited to escorting patients to examination room, taking vitals, taking EKGs, phlebotomy, giving injections, and assisting physicians with procedures as necessary. Ensure the physical well-being of patients. Record services and diagnosis on patient's encounter form to facilitate appropriate billing.
Be responsible for office financial performance, including revenue cycle activities and monthly statistical reporting. Partner with Director of Operations, physician leadership, and Finance to prepare annual budget; ensure practice meets monthly budget targets and work with Facility Medical Director and Director of Operations to course correct as necessary.
Maintain and coordinate all staff schedules to accommodate patient flow. Provide backup to key positions during peak times and staff absences. Perform weekly payroll activities for assigned staff. Actively engage in recruiting, hiring, orienting, promoting, reviewing, and terminating staff according to organizational policies. Maintain up-to-date staff files of required certifications and licenses. Foster staff engagement and productivity.
Set, track, and report goals, targets, and outcome/performance measures to monitor/ evaluate the work in the area of Content Expertise. Research, analyze, and use data to inform decision-making and strategic planning.
Participate in meetings and on committees and represent the department and hospital in community outreach efforts. Participate in multi-disciplinary quality and service improvement teams.
Perform other duties as assigned. May serve as the primary backup for the duties and responsibilities of other positions at the site.
Minimum Qualifications Education
Bachelor's degree in Nursing preferred or
Bachelor's degree in Health Administration preferred
Experience
1-2 years or 2 years clinical management experience preferred with focus on physician practice management; experience with supervision of both clinical and non-clinical staff; experience managing clinical operations required
Licenses and Certifications
RN - Registered Nurse - State Licensure and/or Compact State Licensure RN license required in area of practice required
RNC-OB C- Electronic Fetal Monitoring (EFM) certification required for those working in OB/GYN: Perinatal nurses (labor and delivery, antepartum, antenatal testing) must obtain certification in Electronic Fetal Monitoring (EFM) from the National Certification Corporation (NCC) within 12 months from date of hire. New graduate nurses or new to specialty nurses (labor and delivery, antepartum, antenatal testing) will have 15 months from date of hire to obtain the EFM certification
