Administrative Assistant - Self Determination Program (SDP)
Starting Salary Range: $47,618 - $57,141
GGRC is looking to hire an Administrative Assistant to support the Self Determination Program supervisors and provide general Administrative support for the SDP team as a whole.
This position is a hybrid role where you can work out of our office in San Francisco and from the comfort of your home. This role will require minimal local travel within the Counties of San Francisco, San Mateo, and Marin. Access to reliable transportation permitting travel to and between many different locations throughout the day to perform the outlined responsibilities of the position.
Requirements
Management Support
Provide direct assistance to the SDP Supervisors and Participant Choice Specialists (PCS)
Prepare agendas and supporting data for meetings and appointments
Maintain files and confidential material for the SDP
Assist members of the Self-Determination Local Advisory Committee (SDLAC) at any given time
Arrange appointments, conferences, training and meetings, requests information and assistance in scheduling activities and people
Department Support
Compose and prepare highly specialized correspondence from brief instructions
Field internal and external inquiries by phone, email, and in person and redirect as necessary
Manage clerical workflow and activities to meet deadlines
Maintain SDP participant spreadsheets for DDS data collection
Create, maintain and distribute SDP informational brochures for outreach
Provide assistance to the SDP unit staff as needed
Collect information and data, compile reports in support of assigned projects and research activities
Prepare and process statistics monthly for SDPLAC meetings
Attends weekly SDP Unit meeting
Participate in special projects, and assist with additional duties or tasks, as assigned
Maintain all client information as confidential in compliance with the federal Health Insurance Portability and Accountability Act of 1996 (HIPAA) and the California Lanterman Act
Education/Experience
High School Diploma or equivalent
5+ years of increasingly responsible administrative experience
Skills
Written communication: ability to develop standard business communications, using proper grammar, spelling and punctuation
Oral communication: ability to convey complex information and ideas in a clear, concise and professional manner
Ability to operate basic office equipment, including scanners, copiers, faxes, phones
Intermediate knowledge of MS Word® (e.g., tables, mail merges, form creation), MS Excel® (e.g., Pivot Tables, Lookups, graphing), MS PowerPoint®, MS Outlook® (e.g., group list management, multi-calendar management)
Knowledge of office methods, procedures, and equipment
Ability to work with confidential material in an appropriately professional manner
