Overview:
A distinguished law firm is seeking a dynamic and experienced
Office Administrator
to oversee operations and administration in its Seattle office. Reporting to local office leadership and collaborating with firmwide management, this position plays a vital role in ensuring operational excellence, fostering a positive workplace culture, and managing human resources, facilities, and administrative functions.
Key Responsibilities:
Administrative Leadership:
Champion the firm's culture and promote a cohesive, inclusive, and professional office environment.
Design and implement engagement initiatives (e.g., appreciation events, wellness weeks, social gatherings).
Serve as a key liaison between local leadership, firmwide departments, and staff.
Identify and address operational concerns proactively. Facilities & Operations Management:
Oversee office construction, space planning, relocations, and refurbishments.
Manage vendor and service contracts in alignment with firm policies.
Collaborate with building management on facilities maintenance and safety.
Ensure compliance with firmwide and legal requirements related to safety, first aid, and emergency planning.
Maintain inventory, office equipment, and procurement; encourage participation in sustainability and recycling initiatives. Human Resources Oversight:
Supervise legal support staff and outsourced services as needed.
Coordinate professional staff development, onboarding/offboarding, and summer associate programs.
Partner with firmwide HR and Talent teams to handle personnel matters and maintain accurate records.
Administer local performance reviews, compensation adjustments, and benefits programs.
Ensure compliance with firm and legal HR policies and labor laws. Finance & Budget Management:
Prepare and manage the Seattle office's annual and revised budgets; monitor expenses and address variances.
Support local partners with billing and collections coordination in partnership with the billing team. Qualifications:
Bachelor's degree required; equivalent work experience will be considered.
Minimum 5 years of leadership or management experience in a similar professional environment.
Demonstrated experience in budget preparation, contract negotiation, and vendor oversight.
Strong proficiency with Microsoft 365 Office Suite and database systems.
Knowledge of HR policies, employment law, and legal office procedures.
Ability to build effective relationships across all levels of staff and attorneys.
Exceptional judgment, professionalism, and discretion in handling sensitive matters.
Highly organized, detail-oriented, and able to handle multiple priorities under pressure.
Proven ability to drive initiatives, foster engagement, and lead through change.
Outstanding verbal and written communication skills.
Commitment to delivering exceptional internal and external client service.
Flexibility to work extended hours as needed. Compensation & Work Environment:
Salary:
$145,000 - $180,000 base (based on experience and qualifications)
