Administrative Coordinator & Executive Assistant Division of Palliative Medicine - Department of Medicine Full Time

Job Summary The position is responsible for providing overall administrative coordination of day‑to‑day operational and administrative activities for and across the Division of Palliative Medicine and executive assistance to the Division Chief in support of the mission and goals of the Division. Key responsibilities include serving as a central point of contact for Division faculty and staff on operational and administrative matters such as submitting IT and facilities tickets, working orders, ordering and tracking supplies and inventory, submitting purchase orders and expense reports, supporting finance and HR tasks (including tracking invoices and payments, check deposits, cost transfers, financial reconciliation), onboarding new hires, creating surveys, generating reports, analyzing data, contributing to Division and team meetings, creating meeting agendas and minutes, and supporting special projects that add to the success of the Division or improve employee engagement and experience. The role also provides administrative support to the entire interdisciplinary team of the inpatient consult service, manages all aspects of Division meetings and special events, coordinates, researches, and organizes meeting and event materials and logistics, maintains Division communication resources, and provides high‑level project and administrative support to the Division Chief, including managing the Chief’s complex and shifting calendar.

The Administrative Coordinator may also be involved in program‑specific projects led by faculty and program directors in areas of research, clinical operations, and/or education, and may support Division communications and marketing tasks such as social media, the Wiki, and website updates.

The ideal candidate is customer‑service‑mindful, organized, professional, and demonstrates autonomy and initiative when learning policies, systems, processes, and culture. This individual will handle multiple responsibilities in a shifting‑priority environment, work independently on highly sensitive or complex projects, and communicate with a wide range of audiences with diplomacy, professionalism, tact, and excellent verbal and written skills.

The final salary and offer components are subject to additional approvals based on UC policy. The salary range for this position is $29.05 – $53.50 per hour. Department Description The Department of Medicine (DOM) is the largest department in the School of Medicine at UCSF, with more than 800 full‑time faculty. Its mission includes research, teaching, patient care, and public service. The DOM has a decentralized structure across four locations—Mission Bay, Parnassus Heights, San Mary’s/Francis, San Francisco Veterans Affairs Health Care System, and Zuckerberg San Francisco General—and about 38 divisions. The Department consistently ranks among the top four medicine departments in the country.

The Division of Palliative Medicine operates within the DOM. Palliative care specializes in relieving the symptoms and stress of serious illnesses to improve quality of life for patients and families. Since 2018, the Division has aimed to integrate palliative care into routine practice at UCSF Health, offering clinical, educational, research, and training services across inpatient and outpatient settings. The Division runs five clinical services and collaborates with other institutions for fellow rotations.

Required Qualifications

Bachelor’s degree in a related area and/or equivalent experience or training.

Minimum 1+ years of directly relevant experience.

Ability to use good judgment in responding to issues and concerns.

Solid communication and interpersonal skills for effective verbal and written interactions at all staff levels.

Strong organizational skills and ability to multitask with demanding timelines.

Working knowledge of common organization‑specific and other computer application programs.

Ability to use discretion and maintain confidentiality.
