Job Purpose
The Executive Assistant provides day‑to‑day administrative support to ensure smooth office operations and responsive customer service. This entry‑level role is ideal for a recent graduate who is organized, professional, and motivated to learn. The successful candidate is a dependable team player with strong communication skills, a positive attitude, and the initiative to manage priorities, track deliverables, and support meetings, events, and office logistics.
Responsibilities
Answer and route telephone calls, take accurate messages, and provide responsive customer service.
Track incoming and outgoing correspondence, maintain logs, and support timely follow‑up.
Coordinate travel arrangements, including scheduling, reservations, and related documentation.
Perform general clerical and administrative support (filing, scanning, copying, mailbox monitoring, etc.).
Plan, schedule, and support meetings, conferences, trainings, and other office events (including agendas, attendee coordination, and logistics).
Complete data entry tasks and assist with document preparation, formatting, and approvals.
Support report preparation by conducting basic research, retrieving information, assembling materials, and drafting preliminary content.
Assist with office move coordination, including scheduling, tracking, and communications.
Deliver and retrieve office documents as needed.
Maintain document tracking logs and ensure records are accurate and up to date.
Perform other duties as assigned.
Education and Experience
Must be a recent college graduate (Bachelor’s degree required).
Strong organizational skills and attention to detail; able to manage multiple priorities and deadlines.
Excellent written and verbal communication skills.
Professional, pleasant demeanor with a customer‑service mindset.
Demonstrated initiative, reliability, and strong work ethic.
Ability to work independently and collaboratively as part of a team.
Proficiency with common office tools and technology (email, calendars, word processing, spreadsheets).
Ability to handle sensitive information with discretion and maintain confidentiality.
