Description We are looking for a highly organized and proactive Executive Assistant to support senior leadership in a dynamic and fast-paced environment. This Contract position is based in Fort Worth, Texas, and requires exceptional multitasking skills, attention to detail, and the ability to maintain confidentiality. The ideal candidate will be proficient in Microsoft Office, particularly Excel and SharePoint, and have experience in calendar management, event coordination, and administrative support. Responsibilities:
- Manage the executive's calendar, coordinating appointments, meetings, and other scheduling needs.
- Serve as a liaison for travel arrangements, collaborating with the travel department to ensure smooth logistics.
- Create, format, and maintain spreadsheets to track committee staff and other critical information.
- Plan and organize events, including staff parties, by booking venues and managing vendor relationships.
- Update and maintain accurate records on SharePoint to ensure easy access to essential information.
- Assist with onboarding processes, including implementing new employee checklists and maintaining employee files.
- Coordinate administrative tasks for staff meetings and prepare necessary materials for board meetings.
- Track and distribute HR-related documents, including staff reviews and anniversary gifts.
- Manage correspondence and distribute memos or updates to staff as needed.
- Ensure the Executive Office is well-stocked with supplies and prepared for daily operations.
- Proven experience in calendar management and scheduling of meetings and appointments.
- Familiarity with event planning and vendor management processes.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Strong written and verbal communication skills to liaise effectively with various stakeholders.
- Previous experience coordinating travel arrangements and acting as a travel liaison.
- Ability to maintain confidentiality and handle sensitive information with discretion.
