Mailroom / Distribution Associate – SANDC5697517 The Mailroom / Distribution Associate is responsible for operating high-level mail equipment and performing a wide range of mailroom and distribution functions in a high-speed, high-volume environment. This role includes handling incoming and outgoing mail, packaging, posting, tracking, and reporting, while ensuring compliance with company procedures and customer requirements. The associate will also provide customer service, maintain equipment, and support workflow improvements.

Key Responsibilities

Operate mail inserters, sorters, finishing equipment, and other high-volume mailroom machinery

Perform charge-back reporting for postage, air express, local delivery, and faxes

Execute production mail labeling and mail merge tasks

Provide mailing address cleanup services using mail cleansing software

Coordinate automated and manual finishing and mailing processes

Implement and maintain distribution and tracking systems

Update and maintain mailing addresses using customized software

Conduct barcode address quality reviews and lookups

Manage electronic input, packaging activities, and posting fulfillment

Recommend workflow improvements and cost-saving measures

Serve as focal contact for special mailings and shipments

Receive, sort, and process mail documents, packages, and supplies; notify recipients

Deliver and pick up mail on scheduled runs

Record and process accountable mail information; maintain logs

Track, trace, and resolve mail problems with USPS, express, and local delivery services

Prepare mail and packages for external shipment; coordinate deliveries and pickups

Perform quality checks on outbound mail and validate internal addresses

Complete shipping forms or electronic entries in shipping terminals

Perform finishing work on documents (folding, insertion, etc.)

Perform fulfillment functions (assembly, packaging, shipping, tracking of kitted materials)

Follow mailroom security procedures

Barcode track or face scan incoming mail and packages

Log, transmit, receive, and distribute faxes

Use automated systems for shipping and receiving

Monitor, order, and replenish supplies inventory

Send and receive email messages

Arrange alternative courier/shipping services as needed

Fully operate, clean, and maintain mail/shipping equipment

Contact service providers for equipment maintenance when required

Ability to lift and move up to 50 pounds

Ability to read, write, and follow English instructions

Intermediate knowledge of MS Word (tables, forms, headers/footers, multiple sections)

Intermediate knowledge of MS Excel (multiple worksheets, charts/graphs, formulas)

Working knowledge of MS PowerPoint (basic presentations, printing options)

Working knowledge of Adobe Acrobat and file conversion/graphic arts applications

Basic knowledge of networks (adding/deleting printers)

Basic knowledge of Digital Front Ends

Functional knowledge of MAC systems when required

Ability to determine output packaging standards (books, tabs, etc.)

Ability to operate mail equipment (finishing equipment, inserters, postage meters, envelope printers, scales, Pitney Bowes systems, FedEx shipping systems)

Strong customer service and communication skills

Ability to manage multiple tasks and perform duties with minimal supervision

Ability to perform accurate data entry

Ability to use Production Mail Software

Ability to estimate and schedule mailing jobs (operators, job path, time requirements)

Ability to train and mentor other mail associates

Experience

1–2 years of knowledge and experience with mail procedures and operating mail equipment

Education

Minimum: High School Diploma or equivalency

Education verification required

Physical Requirements

Ability to lift up to 50 pounds

Ability to stand for up to 3 hours at a time
