Administrative Assistant

The administrative assistant provides administrative support to the assigned area and acts as a resource for operations. The administrative assistant handles routine and advanced duties for leadership and other professionals within the System Nursing Practice and Clinical Education Department. This role is based out of Minneapolis and St Paul, MN.

Responsibilities include:

  • Coordination of written and verbal communication to support day to day operations including greeting and directing visitors, answering and managing telephone calls, developing presentations and reports, and making copies.
  • Preparing agendas, notices, meeting materials, minutes and resolutions as well as providing support for AV, catering needs, and travel arrangements for meetings.
  • Scheduling and coordinating meetings, appointments, and managing calendars for department staff including managers, directors, etc.
  • Developing and implementing office procedures to maintain systems and records, including preparing invoice for payments, locating and ordering repair/service requires, order supplies, and maintaining equipment.
  • Assisting other staff as needed to ensure no gaps in service to leadership team.
  • Interacting with other people from a wide variety of levels, from customers to managements and C-suite leaders.
  • Performing daily tasks with a positive attitude and a desire to develop.
  • Making independent decisions daily, addressing the best way to handle tasks.
  • Developing systems of organization and effectively prioritizing tasks.

Required qualifications include:

  • High School diploma or GED
  • 2 years experience in a similar administrative role
  • Experience working in the Microsoft Suite of Applications
  • Excellent written and oral communication skills
  • Ability to work with minimal supervision
  • Capability to multitask

Preferred qualifications include:

  • Vocational School training or
  • A.A./A.S. or
  • Commensurate Experience
  • Advanced knowledge of Microsoft Suite of Applications
  • Proficiency in Outlook
  • Background in healthcare provider or payor industry
  • Experience supporting multiple individuals
  • Notary
