Recruiting Coordinator, Lead Job at Cartesia in San Francisco
Cartesia, San Francisco, California, United States
About Cartesia
Our mission is to build the next generation of AI: ubiquitous, interactive intelligence that runs wherever you are. Today, not even the best models can continuously process and reason over a year-long stream of audio, video and text—1B text tokens, 10B audio tokens and 1T video tokens—let alone do this on-device. We're pioneering the model architectures that will make this possible. Our founding team met as PhDs at the Stanford AI Lab, where we invented State Space Models or SSMs, a new primitive for training efficient, large-scale foundation models. Our team combines deep expertise in model innovation and systems engineering paired with a design‑minded product engineering team to build and ship cutting‑edge models and experiences. We're funded by leading investors at Index Ventures and Lightspeed Venture Partners, along with Factory, Conviction, A Star, General Catalyst, SV Angel, Databricks and others. We're fortunate to have the support of many amazing advisors, and 90+ angels across many industries, including the world's foremost experts in AI.
About The Role
We’re looking for a Lead Recruiting Coordinator to own and operate the full coordination engine behind Cartesia’s hiring. This is a hands‑on role responsible for building a reliable, trusted and high‑velocity interview process across research, engineering, product, and business teams. You will manage day‑to‑day coordination, while also building the systems, tooling, and workflows that allow the function to scale.
Your Impact
- Manage all interview scheduling end‑to‑end: multi‑panel loops, cross‑timezone logistics, interviewer alignment, candidate prep materials, and real‑time troubleshooting
- Provide a high‑touch candidate experience: prompt communication, tight follow‑through, and clear expectations at every stage
- Own interviewer operations: ensure coverage, manage load balancing, maintain calibration and accuracy, coordinate debriefs, and help enforce process hygiene
- Maintain and improve ATS hygiene: pipeline accuracy, scorecard enforcement, SLAs, and reporting
- Partner closely with recruiters and hiring managers to anticipate bottlenecks and proactively solve them
- Track and report key recruiting metrics (time‑to‑fill, pass‑through rates, load distribution, drop‑offs).
- Grow the team: hire for IC Coordinators, onboard them, determine their career path, and set them up for success
What You Bring
- 3–5+ years in recruiting coordination or operations at a high‑growth tech company
- Proven ability to manage complex scheduling across time zones and seniority levels
- Exceptional organization, communication, and follow‑through
- Comfortable owning both execution and process building
- High operational rigor; thrives in fast‑moving, ambiguous environments
- Strong familiarity with Ashby (or similar ATS) and scheduling tools (ModernLoop, Calendly, etc.)
- Willingness to jump in, troubleshoot, and keep the process moving
