Essential Duties and Responsibilities
Effectively prioritize commitments and manage calendar; including coordination with administrative colleagues to schedule meetings, calls, events, and other activities
Deliver seamless engagement experiences by managing meeting logistics, including preparation, distribution, and/or printing of materials, maintenance of calendar invites and RSVPs, greeting guests, and coordinating technology needs (video conferencing, collaboration tools, etc.) in advance
Manage executive contacts with discretion, including tracking, maintaining updated records, and fostering relationships with internal and external clients
Coordinate travel arrangements, including international and domestic itineraries, bookings, and briefing materials as needed
Prepare executive for a variety of internal and external meetings, by gathering, compiling, and reviewing briefing and logistical materials
Coordinate schedules and be the point of contact for client fly-ins and congressional meetings
Produce and distribute internal and external correspondence emails for principals
Assist in the preparation of regularly scheduled calls and meetings for clients
Ensure proposals and engagement letters are sent in a timely manner and are accurate
Submit and reconcile expense reports and invoices as needed
Manage and support executives with LDA filings as needed
Maintain contact and client lists
Ability to manage multiple projects with attention to detail and achieving deadlines
Required and Preferred Qualifications
3+ years of experience as an executive assistant or high-level administrative assistant is required
Hill, law firm and/or professional services experience highly preferred
Excellent time management skills and ability to multi-task and prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills
Proficient in MS Office, Outlook, Zoom, and other applications
Willing to work paid overtime hours when needed
Compensation and Benefits:
Brownstein Hyatt Farber Schreck offers a benefits package that includes medical, dental, vision, 401(k) + match, and vacation/sick/personal time off. Salary range for this role is commensurate with experience from $80,000-$100,000.
