WHO YOU ARE You are a seasoned meeting professional and strategic leader with
6–9 years of experience
producing medium to large-scale conferences (500–16,000 attendees). You excel at managing multiple accounts, listening to clients and teammates, and executing with precision. Calm under pressure, you consistently exceed goals, stay current with industry trends, and never miss deadlines. You love to travel, negotiate hotel and vendor contracts effectively, and bring expertise in venue sourcing, budgeting, timelines, event specs, onsite execution, F&B planning, signage and branding, vendor management, and team leadership.
Core Expertise
Venue and Hotel Sourcing with strong contract negotiation skills (Cvent experience preferred)
Advanced Budget Management: Forecasting, creation, and reconciliation
Timeline and Run-of-Show development for clients and internal teams
Event Specifications and flawless onsite execution
Room Block Management and reporting
Vendor Oversight: AV, F&B, décor, entertainment, and production partners
Food & Beverage strategy: Menu design, tastings, and creative attendee experiences
Signage and Branding: Venue-wide installations and activations
Collaboration with GSCs/Expo companies for signage and activations
Leadership of small teams (2–3 individuals)

Required Background & Expertise
Proven ability to manage multi-million-dollar Food & Beverage budgets for large-scale events and convention center environments
Expertise in signage and branding strategy, including venue-wide installations and activations in convention centers
Demonstrated success in multi-tasking across multiple accounts and delivering exceptional results under tight deadlines
Strong background in vendor negotiations and complex contract management for hotels and convention centers
Ability to lead strategic planning and execution for high-profile events with precision and creativity

Key Responsibilities
Lead and manage a portfolio of five client accounts, including two with significant Food & Beverage programs exceeding $1M and potential lead responsibilities on additional accounts
Oversee conference logistics: event specifications, room block management, signage and branding, speaker coordination, and expo planning
Develop and execute event strategies and objectives aligned with client goals
Facilitate and lead client and internal team meetings to drive planning and decision-making
Create, manage, and reconcile comprehensive budgets, ensuring accuracy and cost efficiency
Deliver exceptional results across multiple projects at different life cycle stages, maintaining quality and deadlines
Travel Requirements
Expect frequent U.S. travel, including weekends and occasional holidays, with additional PTO compensation. International travel may be required, valid passport essential.
Physical Requirements
Remote work environment requiring reliable internet access; MMS provides a company-issued laptop and necessary tools for virtual work
Assist with onsite set-up (moving boxes up to approx. 25 lbs., unpacking, packet stuffing, etc.)
Periods of long standing and walking 5+ miles a day. Many conferences will occur in convention centers.
