MANAGER NOTES: This position will lead the deployment, optimization, and administration of Smartsheet across Project Management, Engineering, and Operations. The goal for this role is to bridge these disconnected systems and create a unified, enterprise-grade Smartsheet ecosystem that supports cross-departmental workflow integration, consistent data structures, and single-source-of-truth scheduling.
POSITION SUMMARY: Global Power Components (GPC) is seeking a highly skilled Smartsheet Expert to lead the deployment, optimization, and administration of Smartsheet across our Project Management, Engineering, and Operations teams. This role is responsible for bridging the workflow gap between what Project Managers commit to clients (VOC scheduling, forecasting, milestone communication) and the true engineering lead times, deliverables, and internal workflows required to execute hyperscale, utility, and OEM programs. The objective is to create a unified, intelligent scheduling ecosystem inside Smartsheet – one that integrates PM schedules, engineering workflows, dashboards, reporting, and automated alerts—ensuring accuracy, transparency, and real-time alignment across all stakeholders. This position will serve as the enterprise owner of Smartsheet’s health, structure, and strategic value at GPC.
KEY RESPONSIBILITIES Enterprise Smartsheet Architecture & Administration
Serve as the primary administrator and subject matter expert (SME) for all enterprise-grade Smartsheet functionality.
Build, configure, and maintain sheets, workspaces, dynamic views, reports, data mesh, and Control Center blueprints.
Create and manage permission structures, user roles, governance standards, and sheet lifecycle management.
Scheduling Integration & Workflow Alignment (PM ↔ Engineering)
Develop automated workflows to ensure engineering deliverables, internal lead times, and gating requirements are fully integrated into PM-level schedules.
Build interoperable systems that tie VOC commitments to true internal capacity, engineering readiness, and release maturity.
Create standardized templates and control frameworks that allow multi-building, multi-series hyperscale programs to roll up into unified dashboards.
Process Optimization & Continuous Improvement
Review existing Smartsheet assets and convert them into scalable, efficient, standardized tools.
Identify gaps, bottlenecks, and inefficiencies in current PM/Engineering workflows and design Smartsheet-driven improvements.
Drive adoption of automation, integrations, and advanced Smartsheet capabilities to reduce manual effort and optimize communication loops.
Automation & System Integrations
Implement and manage advanced Smartsheet automations:
automated notifications
conditional workflows
engineering release gates
task predecessors / dependencies / critical path
Integrate Smartsheet with ERP, Power BI, Excel, and other enterprise tools as needed.
Support API‑based integrations to connect engineering, scheduling, and PMO data sources.
Design executive‑level dashboards to show:
VOC commitments
program‑level and portfolio‑level health
risk flags, aging tasks, and bottlenecks
Develop consistent reporting packages for weekly PM/Engineering alignment calls.
Support program launch templates, series‑build rollouts, and portfolio reporting.
Training, Change Management & Internal Support
Provide hands‑on training to PMs, Engineers, and leadership on new Smartsheet tools.
Develop SOPs, quick‑start guides, and governance documentation for long‑term sustainability.
Champion the adoption of Smartsheet as a unified scheduling and workflow tool across all GPC facilities.
Ownership of Smartsheet Health & Value
Evaluate and maintain the quality & accuracy of all Smartsheet structures.
Ensure ongoing alignment between Smartsheet usage, PMO planning, engineering sequencing, and capacity planning.
Drive continuous improvement in how GPC leverages Smartsheet to support enterprise growth.
QUALIFICATIONS Required:
3–7 years of experience as a Smartsheet expert, administrator, or Smartsheet‑focused operations professional
Demonstrated expertise in enterprise Smartsheet, including:
Control Center
DataMesh & DataShuttle
Dynamic View
WorkApps
Experience developing automated workflows, integrations, and cross‑functional scheduling systems
Ability to translate PM schedules into engineering workflows, capacity constraints, and realistic internal sequences
Strong analytical and systems‑thinking capability
Excellent communication and interpersonal skills
Demonstrated ability to train teams and drive corporate‑wide adoption of new tools
Preferred:
Smartsheet Certified Professional or Smartsheet Certified User
Experience in a manufacturing, engineering, construction, or OEM/customer‑integration environment
Familiarity with E‑House or modular manufacturing workflows
Experience with ERP integrations, Power BI dashboards, or process automation software
