About the Role The Executive Assistant (EA) is a key member of the team responsible for providing dedicated support to the CEO. This role is critical to ensure the CEO’s time is optimized, communications run smoothly, and daily operations within the executive team function efficiently. The EA is entrusted with handling confidential information, coordinating logistics, and acting as a liaison with internal and external stakeholders.
Responsibilities
Manage and prioritize the CEO’s calendar, including scheduling meetings, appointments, and events (calendar priorities include clients, board members, internal teams, regulators, auditors).
Coordinate domestic travel arrangements, lodging, and itineraries.
Prepare and distribute meeting agendas, briefing materials, presentations, and reports.
Serve as the primary point of contact for internal and external communications on behalf of the CEO.
Screen, prioritize, and draft professional correspondence (email, letters, memos).
Handle sensitive and confidential information related to strategy, M&A, personnel, and regulatory matters with the highest degree of discretion.
Prepare materials for Board of Directors and committee meetings (agenda packets, briefing documents, presentations) and coordinate with internal team members to upload reports into the online portal.
Coordinate logistics for board meetings and off‑sites.
Track action items, follow‑ups, and deadlines tied to board and committee decisions.
Maintain organized records related to executive decisions, board activity, and regulatory interactions.
Support preparation for exams, audits, and regulator meetings by coordinating documentation and logistics.
Understand the importance of confidentiality, data security, and compliance requirements.
Maintain accurate records, files, and office systems (digital and physical).
Process expense reports, invoices, and reimbursements as needed.
Support special projects, strategic initiatives, and cross‑department coordination as directed by the CEO.
Serve as a bridge between the CEO and senior leadership, staff, clients, shareholders, regulators, and external partners.
Support project coordination and follow‑up on action items across departments.
Qualifications Education & Experience
Bachelor’s degree in Business Administration or related field preferred.
5+ years of experience in executive or administrative support, preferably in banking or financial services; experience supporting C‑suite preferred.
Exceptional organization, time management, and multitasking skills.
Outstanding written and verbal communication capabilities.
High proficiency with Microsoft Office (Outlook, Word, Excel, Teams, PowerPoint) and calendaring tools.
Professional discretion and ability to handle confidential information.
Ability to anticipate needs, solve problems proactively, and work independently.
Preferred Attributes
Strong interpersonal skills and a polished professional demeanor.
Capacity to manage shifting priorities in a fast‑paced environment.
Experience supporting senior leadership or board activities.
Working Conditions
Office environment with occasional after‑hours or travel support as required.
Salary range for this role is $75,000 - $82,500
