EXECUTIVE ASSISTANT TO THE CHIEF MEDICAL OFFICER
Applicant must be a permanent employee in the Principal Administrative Associate title. The Department of Social Services (DSS) is comprised of the administrative units of the NYC Human Resources Administration (HRA) and the Department of Homeless Services (DHS). The DSS Medical and Health Services Office aims to improve the health and well-being of individuals experiencing homelessness and those receiving HRA benefits, increase the chances of permanent housing and independent living, and decrease morbidity and mortality. Responsibilities
Complete a broad variety of high‑level administrative tasks for the Chief Medical Officer (CMO), including managing the CMO’s calendar, assisting in the development and implementation of policies and procedures, developing sensitive documents, preparing purchase orders, supporting grant activities, and preparing reports to governmental and non‑governmental agencies. Coordinate logistics for meetings and tele‑conferences with internal staff and external partners, including conference room reservations, security desk notices, technical support, printing of materials, reminders, agendas, and minutes. Serve as office manager: order supplies, prepare purchase requests, maintain inventories, manage seating charts, set up new staff with email and system access, and arrange complex travel plans. Maintain and update organizational databases, distribute confidential shelter lists to medical partners, track MOU processes, and maintain signed MOUs. Represent the CMO professionally, interpret and answer general questions, prioritize conflicting needs, handle matters expeditiously, follow through on projects, and coordinate vacation schedules of senior personnel. Minimum Qualifications
Baccalaureate degree and three years of progressively responsible clerical/administrative experience, including one year in an administrative capacity or supervising staff of moderate difficulty. Associate degree or 60 semester credits and four years of progressively responsible clerical/administrative experience, including one year of supervisory experience. Four‑year high school diploma or equivalent and five years of progressively responsible clerical/administrative experience, including one year of supervisory experience. Education and/or experience equivalent to any of the above, provided the one year of supervisory experience is met. Additional Information
