Administrative Assistant
PVPA has an opportunity for a professional Main Office Administrative Assistant starting immediately. We are looking for an organized, high-energy individual who enjoys collaborating with colleagues and working with students in grades 7-12 in a fast-paced environment. As the first point of contact you will be greeting all visitors to the school as well as triaging any staff and/or student issues. Under the supervision of the Chief Financial Officer you will:
- Greet school visitors and answer telephones, provide information, and answer questions in a friendly and welcoming manner
- Demonstrate exceptional interpersonal and organizational skills working with faculty, staff, students, parents, and community members to facilitate clear and timely communication
- Perform general office duties while always maintaining a business atmosphere
- Maintain main office records, sorting and filing in accordance with the schools policies
- Respond to a wide variety of calls and concerns for the purpose of resolving problems, providing information and/or referring to the appropriate personnel
- Triage student mental health needs as they arise, and communicate information to appropriate staff/administrator
- Maintain school calendar and scheduling of rooms for various meetings/events
- Manage and perform duties relating to the school lunch program including collaborating with South Hadley Schools Food Service Department for the State Match of low-income students and maintaining student counts for meals
- Maintenance of student attendance records ensuring confidentiality and compliance with laws governing confidentiality
- Working with vendors to support optimal operation and functions in regards to all office equipment and copier machines
- Other duties as required
The successful candidate will minimally hold a High School Diploma, Associates degree is preferred, be able to pass a background check (CORI/SORI & Fingerprinting), be able to provide evidence of successful prior experience working with students in grades 7 through 12, and be proficient in the use of technology and office equipment. Preferred experience working with PowerSchool, experience in a school setting and demonstrated ability to multi-task.
