Executive Assistant

Our client is seeking a highly experienced Executive Assistant to provide high-level support to multiple C-suite leaders. This role requires a proactive professional who thrives in a fast-paced setting, enjoys being in the office, and is comfortable navigating ambiguity. The ideal candidate brings strong judgment, discretion, and the ability to anticipate executive needs while balancing structure with flexibility.

Key Responsibilities:

  • Manage complex, ever-changing executive calendars, resolving conflicts and prioritizing competing demands
  • Coordinate and oversee all aspects of executive travel, including flights, accommodations, ground transportation, and detailed itineraries
  • Monitor schedules and proactively alert executives to changes, upcoming deadlines, and priority items
  • Prepare leaders for meetings and events by anticipating logistics, materials, and setup needs
  • Serve as a trusted liaison between executives and internal/external stakeholders
  • Handle sensitive and confidential information with professionalism and discretion
  • Track expenses and process reimbursements using expense management software
  • Provide in-office executive support including meeting setup, guest coordination, and coverage as needed
  • Assist with meeting agendas, note-taking, follow-ups, and documentation when requested
  • Support additional projects and provide backup coverage for other administrative staff as needed

Qualifications:

  • Minimum of 4 years' experience supporting multiple C-suite executives
  • Bachelor's degree required
  • Strong proficiency with calendar management and scheduling tools, including Microsoft Outlook
  • Experience using expense and document management platforms (e.g., Concur, DocuSign)
  • Exceptional organizational, multitasking, and problem-solving skills
  • Ability to remain calm, responsive, and adaptable in high-pressure situations
  • Comfortable working extended hours and being flexible with availability
  • Prior support of senior finance, people, or technology executives preferred
