Executive Assistant Position

We are looking for an Executive Assistant to join a finance firm in West Los Angeles. In this role, you will provide high-level support to the company founder by managing a combination of business and personal tasks. This contract-to-permanent position offers the opportunity to work in a fast-paced environment that values confidentiality and professionalism, with a hybrid schedule including both onsite and remote work.

Responsibilities:

  • Organize and oversee the founder's daily schedule, including managing calendars and coordinating meetings.
  • Arrange complex travel plans, including flights, accommodations, and itineraries.
  • Execute personal errands and tasks to ensure seamless day-to-day operations.
  • Prepare and manage expense reports while maintaining accuracy and timeliness.
  • Act as a liaison for the founder, handling communications and interactions with stakeholders.
  • Maintain confidentiality while managing sensitive information and correspondence.
  • Support the founder in navigating a fast-paced and demanding work environment.
  • Utilize Outlook and other office tools to streamline scheduling and organizational processes.
  • Coordinate both business and personal events as required.
  • Adapt to different personality types and work styles while maintaining professionalism.

Requirements:

  • Proven experience as an Executive Assistant or similar role, preferably in the finance industry.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Outlook and other office software.
  • Ability to manage schedules, travel arrangements, and expense reporting efficiently.
  • Excellent interpersonal and communication skills.
  • Demonstrated ability to handle sensitive information with a high degree of confidentiality.
  • Experience working in fast-paced environments and managing competing priorities.
  • Flexibility to perform both business and personal tasks as needed.
