Executive Assistant

UNRL is seeking a highly skilled Executive Assistant to provide exceptional administrative support to our CEO and COO. This role demands efficient and timely execution of daily tasks to ensure smooth operations. Responsibilities:

  • Efficiently manage and prioritize the CEO and COO's calendars, coordinating meetings, appointments, and travel arrangements to ensure seamless operations.
  • Screen and direct phone calls, emails, LinkedIn messages, and other correspondence, ensuring timely and appropriate responses.
  • Create and manage high-quality correspondence, reports, presentations, and other documents to support executive objectives.
  • Organize and coordinate meetings by preparing agendas, recording accurate minutes, and tracking action items to ensure follow-through.
  • Arrange comprehensive travel plans, including booking flights, accommodations, and transportation, while providing detailed, accurate itineraries.
  • Prepare detailed itineraries and ensure all travel details are confirmed and accurate.
  • Assist with high-priority projects, monitoring progress, meeting deadlines, and ensuring successful outcomes.
  • Oversee and ensure the timely completion of executives' tasks and deliverables, maintaining accountability and organization.
  • Handle sensitive information with the utmost discretion, professionalism, and confidentiality.
  • Serve as the primary point of contact between executives and internal/external stakeholders, fostering effective communication.
  • Enhance communication flow between departments, teams, clients, and external partners to support organizational goals.
  • Plan and execute internal meetings, events, and office functions, ensuring smooth coordination and professional delivery.

Requirements

  • Bachelor's degree or equivalent work experience.
  • Minimum of 5+ years of proven experience as Executive Assistant or Senior Assistant.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software (Monday.com).
  • Ability to anticipate and react to needs in a fast-paced, deadline-driven environment.
  • Strong communication skills, both verbal and written.
  • Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
  • Exceptional organizational skills and meticulous attention to detail and problem solving.
  • High degree of professionalism and confidentiality.
