Work Location: Los Angeles, CA Onsite at our Beverly Hills HQ (starting early 2026; currently based at our Bell, CA campus)

About the Role: We are seeking a strategic, tech-savvy executive assistant to support our executive leadership team. This is not a traditional EA role we want someone who thrives on using AI and automation to create leverage, streamline workflows, and keep our executives focused on what matters most.

The ideal candidate is resourceful, proactive, and thrives in a fast-moving environment. You will be a critical partner in organizing priorities, coordinating cross-departmental initiatives, and building AI-powered systems that make our executives (and company) faster and smarter.

Key Responsibilities

  • Executive Operations

    • Own complex calendars, travel arrangements, and shifting priorities with precision.

    • Prepare executives for meetings with agendas, research, and context often using AI tools for summarization and insight generation.

    • Act as a gatekeeper and liaison across departments, ensuring smooth information flow and protecting executive time.

  • AI-Driven Productivity

    • Use AI platforms (ChatGPT, Workday AI, UiPath, Notion AI, etc.) to draft communications, summarize meetings, and automate workflows.

    • Build and refine AI-enabled dashboards, trackers, and templates to minimize manual work.

    • Stay ahead of emerging AI tools and recommend adoption opportunities to increase efficiency.

  • Project & Initiative Support

    • Coordinate executive offsites, board deliverables, and special projects with attention to detail and deadlines.

    • Partner with operations and HR teams to ensure initiatives are executed flawlessly.

    • Track follow-ups and ensure accountability across teams.

  • Communications & Culture

    • Draft clear, polished internal communications, executive updates, and announcements.

    • Serve as a culture champion, ensuring executives stay connected to employee engagement moments and key company events.

About You

  • Experience: 5+ years as an EA, Chief of Staff, or senior administrative partner supporting C-Suite executives.

  • AI Curiosity: Confident using AI for productivity and eager to explore, test, and implement new tools.

  • Organization Mastery: Known for managing competing priorities without dropping the ball.

  • Communication Skills: Exceptional writer and communicator with executive-level polish.

  • Tech-Forward: Comfortable with modern collaboration tools (Google Workspace, Slack, Zoom, Workday) and bonus points for automation platform experience (UiPath, Zapier, Make).

  • Mindset: Anticipatory, discreet, and thrives under pressure you are always two steps ahead.

Compensation Range $72,500 - $82,500 USD
