This location serves as NVIVO Health’s flagship clinic and the first of several locations planned nationwide. Team members play a meaningful role in shaping the systems, standards, and patient experience that will support the organization’s national growth. Role Description NVIVO Health is seeking an experienced Medical Office Manager to serve as the primary operational lead for its flagship Beverly Hills clinic. This is a senior, hands-on role within a startup, first-location environment and is ideal for someone who enjoys building systems, supporting teams, and delivering a polished, high-touch patient experience.
The Medical Office Manager will oversee day-to-day clinic operations, supervise staff, manage workflows, and own key administrative and back-office functions. Front desk operations are managed through oversight and leadership, with hands-on support provided as needed in a collaborative, team-oriented and welcoming environment. Key Responsibilities Lead day-to-day clinic operations and workflow management Supervise staff and oversee scheduling Maintain a seamless, high-level patient experience Manage administrative and back-office functions, including bookkeeping, bill payment, vendor management, and HR administration Maintain physician credentials, licensure, and required compliance documentation Oversee front desk operations and provide coverage when necessary Help establish and refine systems and processes to support future clinic locations What We Offer Competitive compensation commensurate with experience Employee benefits and paid time off A senior, high-impact role with meaningful operational influence The opportunity to help build and scale a boutique healthcare organization nationwide A collaborative, high-standard environment focused on excellence and patient care Qualifications Required Experience in medical office or practice management with broad operational responsibility Hands-on experience with bookkeeping, bill payment, HR administration, credentialing, and vendor coordination Experience working with EMR/EHR systems Familiarity with HIPAA and healthcare compliance standards Ability to lead teams in a fast-paced, high-accountability environment Comfort working in a startup setting where flexibility and hands-on leadership are essential
Preferred Bachelor’s degree in healthcare administration, business management, or related field (or equivalent relevant experience) Experience supporting growth or multi-location healthcare operations
