We are expanding and seeking a highly organized and detail-oriented Bookkeeper/Payroll Specialist to support our accounting and operations workflows.

Position Overview

We are looking for a

Bookkeeper/Payroll Specialist

to manage day-to-day financial tasks, handle vendor invoices, oversee payroll processing, run commissions, and ensure accurate and timely reporting. This person will work closely with leadership and department heads to maintain clean books, transparent financials, and a seamless employee compensation process.

Key Responsibilities

Monitor, categorize, and reconcile all company expenses in real-time.

Maintain accurate and up-to-date financial records in accounting software.

Reconcile monthly bank and credit card statements.

Assist in preparing financial reports for senior leadership.

Track vendor payments, due dates, and ensure timely disbursements.

Receive, review, and manage all company invoices, ensuring they are approved, entered, and paid on schedule.

Maintain accurate records of accounts payable and vendor payment history.

Payroll & Commission Processing

Process bi-weekly or semi-monthly payroll for all employees.

Manage payroll adjustments, deductions, and compliance requirements.

Maintain accurate employee payroll records including PTO, sick time, and benefits.

Prepare, calculate, and run sales commissions for brokers, sales reps, or internal staff.

Coordinate with supervisors to verify commission accuracy before payouts.

Compliance & Administrative Support

Ensure bookkeeping and payroll practices comply with federal, state, and local regulations.

Assist during annual audits, tax filings, and year-end financial procedures.

Maintain organized digital records of payroll, expenses, invoices, and financial documents.

Support leadership with ad-hoc financial requests as needed.

Qualifications

2+ years experience in bookkeeping, payroll, or accounting.

Strong knowledge of accounting principles and payroll processes.

Experience with QuickBooks, Gusto, ADP, Paychex, or similar payroll systems.

High level of accuracy, attention to detail, and confidentiality.

Ability to work in a fast-paced environment and meet strict deadlines.

Proficiency in Excel or Google Sheets (pivot tables, formulas, etc. a plus).

Experience with commission structures preferred.

Experience managing accounts payable and invoice processing strongly preferred.
