This is a full-time, on-site position that does not support remote work. We are seeking a professional individual who thrives in a dynamic, fast-paced environment and demonstrates a proactive and efficient approach to reception duties.

The Receptionist / Front Desk Coordinator plays a crucial role in maintaining the smooth operation of our front office, ensuring that all visitors and clients receive a warm welcome and exceptional service. As the first point of contact, this position requires a high level of professionalism, attention to detail, and an ability to manage multiple tasks efficiently.

Duties and Responsibilities

  • Greet clients and visitors with a positive, helpful attitude and direct them appropriately.
  • Manage incoming calls, including answering, screening, and forwarding calls in a professional and efficient manner.
  • Handle queries from the public and clients, providing accurate information and assistance.
  • Schedule and confirm appointments, maintaining up-to-date and organized calendars.
  • Maintain a tidy and orderly reception area that reflects the professional image of the firm.
  • Assist in the coordination of front-desk activities, including distributing correspondence and redirecting phone calls.
  • Receive and sort daily mail/deliveries/couriers and manage outgoing mail.
  • Perform administrative and clerical support tasks, such as scanning, copying, and faxing.
  • Keep detailed records and logs of visitor requests and calls received.
  • Assist with inventory control and office supply management.
  • Ensure the implementation of security, privacy, and confidentiality protocols.
  • Adhere to company policies and regulations at all times.
  • Prepare meeting and training rooms.
  • Assist colleagues with administrative or clerical support as needed.

Requirements

  • High school diploma or equivalent; further education or certification in office management is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and other office productivity tools, with aptitude to learn new software and systems.
  • Professional attitude and appearance at all times.
  • Excellent written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills with the ability to multitask and prioritize work.
  • Detail-oriented and comfortable handling confidential information.
  • Strong time-management skills and ability to work under pressure.
  • Commitment to maintaining a high level of professionalism and confidentiality.
  • Good interpersonal skills, with the ability to interact diplomatically with clients and staff at all levels.
