Soling Partners is a forward-thinking advisor to global asset managers and operations that wish to access the Middle East. We are seeking a highly skilled and proactive Executive Assistant (EA) to support our CEO in managing both professional and personal responsibilities. This is a flexible, remote role for a detail-oriented individual who thrives in a fast-paced, high-growth environment.

Position Overview

The Executive Assistant will provide high-level administrative and operational support to the CEO, including calendar and travel management, writing new business proposals, putting together meeting calendars, communications, and personal life management. The ideal candidate is creative, highly organized, a strong communicator, and able to work independently while maintaining strict confidentiality.

Executive Support & Calendar Management

  • Manage a complex and ever-changing calendar across global time zones
  • Act as gatekeeper for scheduling requests, reach out for meetings, prioritizing time aligned with strategic objectives
  • Compile invoices and oversee client billing

Business Development

  • Draft proposals
  • Schedule roadshows for the CEO
  • Support the CEO in preparing presentations, data entry, and other technical tasks
  • Assist with high-priority projects as delegated

Communications & Correspondence

  • Draft, proofread, and send professional communications on behalf of the CEO.
  • Ensure messaging aligns with Soling Partners’ brand and tone (candid and real!)
  • Coordinate with external stakeholders, partners, and global team members.
  • Send and follow up on a minimum of 15 outreach emails per week to support business development.

Confidential Administration

  • Organize and safeguard sensitive financial, legal, and investment documents.
  • Manage contracts, NDAs, and compliance filings.
  • Handle all tasks with the highest level of discretion.

Special Projects & Event Coordination

  • Support operational efficiencies and high-priority CEO initiatives.

Personal Support

  • Schedule personal appointments and manage household logistics.
  • Oversee bills, mail, renewals, and registrations.
  • Monitor/respond to personal emails as needed.
  • Assist with personal financial management, budget tracking, and vendor payments.
  • Sometimes, honestly, just help with errands.

Schedule & Commitment

  • Estimated 10–15 hours per week (approx. 3 hours per day, Monday–Friday).
  • Flexibility necessary, though work hours will remain within mutually agreed boundaries

Qualifications

  • 5+ years of experience as an EA or similar role supporting C-level executives.
  • Creative and intuitive client communications, ability to do business development – writing proposals and appropriately following up.
  • Exceptional organizational skills with ability to manage competing priorities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office, Excel, Powerpoint, Zoom, Teams, AI models
  • Experience handling sensitive and confidential information.
  • Professionalism, discretion, and reliability are essential.

Compensation

  • Hourly Rate: $27–$35/hour, depending on experience
  • Estimated Monthly Range: $1,755–$2,275 (based on ~65 hours/month)
  • Bonus: 5% of every new advisory mandate or contract retainer secured
  • Payment Schedule: Biweekly invoicing and payment (Net 7 days)
