Assistant To The Assistant Dean For Muslim Life

The Office of Religious Life is seeking applicants to support the Muslim Life Program.

The Assistant to the Assistant Dean provides administrative support to the Assistant Dean for Muslim Life in the Office of Religious Life. The position reports to the Assistant Dean, the Muslim Chaplain on campus, and is the key contact on administrative issues for the Muslim Life Program at Princeton.

This position supports the Assistant Dean by coordinating meetings and keeping the Assistant Dean's calendar, collecting and sharing information, preparing reports, managing social media and communications, maintaining financial and other records, and completing special projects as assigned. The incumbent also works with the Muslim Students Association board leadership and ensures all documents are submitted accurately and timely.

The candidate must have excellent organizational and writing skills, and experience working with students in an academic setting.

This professional will join an office that offers a challenging and supportive work environment. The position requires core competency and a personality given to caregiving as a compassionate presence in the lives of the students, staff, faculty, and community members who gather regularly on campus.

Responsibilities

Administrative Support:

Drafting, editing, researching, compiling, and following-up on correspondence

Serve as a primary resource to internal and external offices, visitors, and alumni

Work with ORL staff in a collaborative manner and provide support as needed

Communications:

Manage and maintain the MLP website

Manage and maintain MLP social media

Communicate with students and community through weekly MLP newsletter and emails

Financial Management:

Manage the Muslim Life Program budget and all related expenses

Complete monthly expense report; coordinate with ORL finance director on related items

Work with the Muslim Students Association to ensure reports are submitted accurately and timely

Assist with planning of annual Ramadan banquet

Correspond with Alumni and Donors

Meeting and Events Support:

Coordinate and communicate the activities of the Assistant Dean by scheduling meetings, creating agendas, taking minutes, and following up on assigned tasks to ensure they are completed

Organizing weekly and monthly events, scheduling facilities and services

Coordinate program logistics, including ordering food, supplies, event space set up, posters, etc.

Coordinate travel arrangements for the Assistant Dean and MLP guests, prepare itineraries, and compile all necessary files and materials for guests' campus visits

Qualifications

ESSENTIAL Minimum Required Knowledge, Skills, Competencies, and Abilities:

At least 1-2 years of related experience is necessary

Excellent oral and written communication skills

Demonstrated excellent editing and writing ability

Strong social media knowledge and skills

Exceptional judgement and organizational skills

Ability to be well-organized, thoughtful, collegial, independent, and team oriented; the ability to multi-task and have a "big picture" perspective

Ability to exercise discretion in handling confidential information

PREFERRED Knowledge, Skills, Abilities, Experience, and Other Education:

Knowledge of Concur and Asana

Knowledge of Prime, including Marketplace

Knowledge of Google Suite, Microsoft Office Suite, and Outlook

Experience working in an academic department within higher education

Key areas requiring competency include communication, problem solving, data analysis, financial acumen, collaboration, technical functions, multi-tasking, balancing priorities, and event planning.

1-2 years of experience working with Muslim students in higher education institution
