Job Announcement/Description: Chief Operating Officer (COO)
Overview
Fortif Law Partners, LLC, a Birmingham, Alabama-based boutique law firm, seeks to recruit a Chief Operating Officer (“COO”). The COO will lead daily execution of all business operations of the Firm. This role involves a high level of responsibility, with a mixture of highly demanding and less complex tasks, all of which are critical to the continuing success of the Firm. Successful performance of the COO role will require full-time, on-site presence and leadership.
Examples of Key Responsibilities
Financial Operations
Responsible for planning, execution, and oversight of all business and financial operations of the Firm;
Serve as principal point of contact for other Firm service providers, such as accountants, 401(k) provider, information technology managed services provider, etc.;
Serve as in-house subject matter expert on all Firm operations issues and questions;
Drive monthly billing workflow;
Execute periodic staff payroll and partner compensation calculations and payments;
Receive and deposit client payments;
Maintain records of all financial activities; and
Review and approve vendor invoices in a timely manner.
Back Office Operations
Manage all Firm insurance accounts (general liability, professional liability, Worker's Compensation, etc.) and ensure coverage compliance and timely annual renewals;
Serve as the Firm’s liaison with outside consultants, contractors, and building maintenance vendors;
Manage all business licenses and renewals;
Manage client clearance and intake process (e.g., conflict checks and client engagement letters); and
Update origination sheets and client data in Firm information systems.
Personnel
Execute all activities related to personnel onboarding (I-9, E-Verify, W-4, payroll setup);
Handle employee benefits enrollments and changes;
Create, edit, and delete user accounts for Office 365 and similar systems;
Maintain custody and records of Firm keys and parking cards; and
Maintain a secure list of Firm online accounts and passwords.
Minimum Qualifications
Growth Mindset;
Bachelor’s degree in accounting, business administration, finance, or closely-related field from a regionally-accredited college or university;
Minimum 7-10 years of professional experience in business/operations management, with demonstrated progressive responsibility;
Demonstrated proficiency with Microsoft Office Suite;
Excellent and proactive organizational, leadership, and communication skills; and
Demonstrated proficiency in QuickBooks Online and Ramp platforms.
Preferred Qualifications
CPA (active or inactive)
Prior experience managing a professional services firm (e.g., law, accounting, medicine, engineering, architecture, etc.)
