Job Summary The Practice Manager is responsible for day-to-day effective and efficient management of the medical practice. This position collaborates with the physicians, staff, colleagues and Harbin leadership to assure the medical practice operates in accordance with the Harbin Clinic’s Mission and Objectives.
Administrative Responsibilities
Administers established guidelines for prioritizing work activities, evaluating effectiveness, and modifying activities as necessary.
Promotes teamwork and empowers teams and individuals to meet their potential.
Supports quality and efficiency improvement efforts.
Provides positive feedback as well as constructive criticism.
Communicates pertinent clinic activities to departmental employees.
Communicates pertinent departmental activities to administrative report and other departments as necessary.
Establishes and maintains high level of employee morale.
Develops personal education to be proactive in meeting the future needs of the department.
Demonstrates a positive attitude toward all customers of Harbin Clinic both internal and external.
Projects a positive, professional image.
Management Responsibilities
Devotes one hundred percent (100%) of time managing day-to-day operations of medical practice.
Manages front and back office staff.
Maintains a high degree of knowledge of both Harbin Clinic human resources policies and procedures and Harbin Clinic operational and billing policies and procedures.
Monitors billing procedures in the practice to ensure patient registration and billing is accurate and performed in a timely manner.
Must be able to learn, apply and teach a variety of rules, regulations, policies and procedures applicable to the ever changing health care reimbursement environment.
Maintains a working knowledge of CPT, ICD9 and HCPCS coding.
Monitors hold bucket to ensure timely resolution of claim errors.
Maintains strict control of internal cash control procedures.
Monitors patient satisfaction scores and develops action plans for improving patient experience.
Maintains and ensures accuracy of monthly key indicators to include:
Knowing the status of daily work
Knowing if planned work is completed on time
Understanding both upstream and downstream impact
Knowing that standard work is being followed
Knowing when to take action and what action to take
Oversees the purchasing functions for the practice.
Ensures office equipment is in working order.
Organizes meetings and education activities of doctors and/or staff as necessary.
Organizes and participates in Harbin Clinic marketing opportunities for the practice.
Ensures general cleanliness, neatness and maintenance of the practice.
Consults with Director of Operations or Senior Manager regarding any problems and concerns and assists in implementing organizational changes.
Other Responsibilities
Attends meetings and participates on committees.
Reviews current literature and attends training sessions and seminars to keep informed of new developments in the field.
Performs other related duties and responsibilities as necessary.
Qualifications
Proven ability to effectively work with others at all levels within and outside Harbin Clinic.
High school or equivalent required.
Minimum of two years supervisory experience in healthcare required.
Exceptional organizational and motivational skills.
Exceptional communication skills with a pleasant demeanor and ability to communicate with a variety of individuals in various job functions.
Professional appearance.
Ability to prioritize and organize the workload of multiple employees.
Must possess knowledge of modern office procedures and office equipment.
Must possess the ability to summarize financial and statistical information for review with the Harbin Clinic staff.
CPT and ICD Knowledge preferred.
