Job Description:
Our client is seeking an experienced Executive Assistant to provide high-level administrative support to the President. This role requires someone who is confident, organized, and anticipatory—able to manage competing priorities, maintain composure under pressure, and stay several steps ahead at all times. The ideal candidate is self-directed, assertive, and thrives in an environment where expectations are high and the pace is constant.
Key Responsibilities:
- Oversee and manage the President’s complex daily calendar, including in-person, virtual, and off-site meetings
- Coordinate detailed travel arrangements and itineraries, ensuring seamless execution
- Prepare meeting materials such as agendas, reports, executive summaries, and correspondence
- Draft and distribute meeting notes and follow-up communications without reliance on recordings
- Serve as the primary point of contact for incoming and outgoing communications for the Office of the President
- Use sound judgment to determine appropriate communication methods and priorities
- Track expenses, manage budgets, and complete monthly reconciliations, including purchase card activity and invoices
- Partner with internal and external stakeholders while maintaining confidentiality and professionalism
Qualifications:
- Prior experience supporting senior-level executives in an Executive Assistant capacity
- Strong background in calendar management and travel coordination
- Advanced proficiency with Microsoft Office tools, including Outlook, OneDrive, Word, and PowerPoint
- High emotional intelligence with the ability to remain calm, diplomatic, and focused under pressure
- Highly organized, detail-oriented, and proactive in anticipating leadership needs
- Comfortable working in a direct, fast-moving environment with minimal hand-holding
