Executive Assistant

The Wild Thyme Company | San Diego, CA

The Wild Thyme Company is a fast-growing, award-winning catering and events company rooted in creativity, hospitality, and strong values. We are seeking a highly organized, proactive Executive Assistant to support our Owner and Accounting & Payroll Manager. This role is ideal for someone who thrives in a dynamic environment, enjoys variety in their day, and takes pride in keeping operations running smoothly behind the scenes.

What You’ll Do

This is a true “right-hand” role, blending administrative, HR, accounting, and creative support. Responsibilities include, but are not limited to:

Executive & Administrative Support

  • Support the Owner and Accounting & Payroll Manager with daily administrative needs
  • Manage special projects from start to finish
  • Maintain organized digital and physical filing systems
  • Run occasional local errands as needed

Human Resources Support

  • Assist with employee onboarding and offboarding
  • Maintain employee files and records with accuracy and confidentiality
  • Support HR documentation and internal communications
  • Help track compliance-related paperwork

Accounting & Payroll Support

  • Enter invoices and organize accounts payable documentation
  • Confirm and track employee timesheets
  • Assist with account reconciliation and filing
  • Provide general support to accounting and payroll processes

Marketing & Client Engagement

  • Assist with marketing content and internal communications
  • Help manage and compile client surveys and feedback
  • Support brand-aligned projects as needed

  • Highly organized with strong attention to detail
  • Ability to multitask and manage shifting priorities
  • Comfortable working with confidential information
  • Strong written and verbal communication skills
  • Tech-savvy (Google Workspace, spreadsheets, basic accounting systems)
  • Self-starter who anticipates needs and follows through
  • Positive, solution-oriented attitude

Bonus Points

  • Previous experience in executive support, HR, accounting, or hospitality
  • Experience with payroll or bookkeeping software
  • Creative eye for marketing or content support
