About You:

  • An Executive Assistant, you'll provide a high-level administrative support for our Founder, managing schedules, communications, and organizational tasks. Key responsibilities include calendar management, travel arrangements, meeting coordination, and correspondence handling. You will also often serve as a point of contact for our founder, managing documents, and assisting with special projects. 

    Core Responsibilities:

    • Calendar Management:

      Scheduling appointments, meetings, and travel arrangements for the executive. 

    • Communication Management:

      Screening calls and composing correspondence on behalf of our Founder. 

    • Meeting Coordination:

      Preparing agendas and organizing logistics for meetings. 

    • Document Management:

      Organizing and maintaining files, preparing reports, and handling confidential information. 

    • Travel Arrangements:

      Booking flights, reservations and transportation for travel. 

    • Expense Reporting:

      Preparing and submitting expense reports. 

    • Special Projects:

      Providing support for events, research, presentations, and other special projects as needed. 

    • Office Management:

      Handling day-to-day administrative tasks and ensuring the smooth operation. 

    • Client Interaction:

      Greeting visitors and serving as a point of contact for internal staff and external stakeholders. 

    Your Skills:

    • Excellent Communication:

      Strong written and verbal communication skills are crucial for interacting with various individuals and composing correspondence. 

    • Organizational Skills:

      The ability to manage multiple tasks, prioritize effectively, and maintain accurate records is essential. 

    • Time Management:

      The capacity to meet deadlines, manage schedules, and prioritize tasks efficiently. 

    • Problem-Solving:

      The ability to anticipate needs, troubleshoot issues, and find solutions independently. 

    • Discretion and Confidentiality:

      Maintaining confidentiality and exercising discretion in handling sensitive information. 

    • Technical Proficiency:

      Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. 

    • Adaptability:

      The ability to adjust to changing priorities and work effectively in a fast-paced environment. 

    • Interpersonal Skills:

      The ability to build rapport with others and work effectively with a team.
