The Program Management Associate will play an essential role in supporting the planning, coordination, and execution of cross-functional projects, with a strong emphasis on commercial readiness and program operations. This role focuses on executional excellence, proactive coordination, and maintaining alignment across teams as Capricor advances toward commercialization of its therapeutic programs.
Working under the guidance of program and functional management, the Program Management Associate will support project tracking, documentation, cross-functional communication, and preparation for market launch, international expansion, and long-range commercialization planning.
Responsibilities- This position is onsite at Capricor’s headquarters in San Diego, CA.
Commercial & Program Planning
- Support development and maintenance of commercial readiness and launch plans, timelines, and cross-project schedules.
- Ensure activities align with organizational goals and commercial objectives across programs.
Cross-Functional Coordination
- Assist coordination across R&D, manufacturing, regulatory, commercial, clinical, and finance functions.
- Track deliverables, follow up on action items, and ensure timely information flow across teams.
Program Tracking & Performance Monitoring
- Support tracking of milestones, key activities, risks, and dependencies across projects.
- Help identify process gaps, risks, and improvement opportunities; escalate issues as necessary.
Program Communications
- Prepare program updates, reports, meeting summaries, slide decks, and dashboards for internal stakeholders and leadership.
- Highlight progress, roadblocks, resource needs, and emerging risks.
Risk & Issue Management
- Assist in identifying risks and issues across commercial and program areas.
- Document mitigation plans and track progress through resolution.
Strategic Support & Alignment
- Support program leadership by preparing analyses, materials, and insights that inform strategic planning and decision-making.
- Contribute to long-range planning and international market preparation activities.
Process & Documentation Management
- Help maintain standardized tools, templates, trackers, and best practices that improve program execution and commercial operations.
- Ensure documentation is current, organized, and version-controlled.
Meeting Support & Follow-Through
- Coordinate program and cross-functional meetings; prepare agendas, materials, notes, and action-item trackers.
- Ensure accountability and follow-up on key items.
Administrative & Operational Support
- Provide scheduling support, maintain project files, track deliverables, and support other administrative tasks that enhance program execution.
- Bachelor’s Degree with 1–3 years of experience in program or project management, commercial operations, or a related role within the biotech or pharmaceutical industry.
- Demonstrated ownership and initiative, with the ability to work independently and collaboratively while following through on commitments.
- Strong problem‑solving skills and the ability to adapt quickly to changing priorities in a fast‑paced environment.
- Excellent organization, time management, and documentation capabilities; able to manage multiple projects and deadlines simultaneously.
- Clear and effective written and verbal communication, with the ability to synthesize complex information for diverse audiences.
- Proficiency with Microsoft Office (Word, PowerPoint, Excel).
- Familiarity with project management or collaboration platforms (e.g., Smartsheet, SharePoint).
- Experience working in biotech or pharmaceutical program management, commercial operations, or PMO environments.
- Hands‑on experience with project tracking tools, dashboards, or resource‑planning systems.
- Exposure to commercial readiness, launch planning, or market expansion activities.
- Experience supporting cross‑functional team coordination across R&D, regulatory, manufacturing, clinical, commercial, or finance.
- Ability to prepare or contribute to presentations, status reports, and program summaries for leadership.
- Familiarity with risk management, including identifying risks, tracking mitigation plans, and supporting cross‑functional resolution.
- Strong analytical mindset with the ability to interpret data and contribute to strategic discussions.
- Ability to sit and work at a computer for extended periods.
- Occasional lifting of materials up to 20 pounds.
- Willingness to travel as needed to support program and commercial objectives.
