Closeout Coordinator/Bookkeeper
in the
Odessa/Tampa
region to join our team!
Stansell is a rapidly growing, WBE certified, general contractor specializing in commercial construction services across the Southeast United States. We focus on serving clients in the commercial market with emphasis on the following project types: restaurant dining and quick service food.
Responsibilities Project Close-Out Coordination
Oversee and manage the project closeout process for commercial construction projects, ensuring all deliverables are met and completed on time.
Prepare, collect, and organize all project final lien waivers.
Track outstanding final lien waivers from subcontractors and vendors; follow up to ensure timely submission.
Coordinate with project managers and coordinators with client turnover packages and final deliverables.
Meet internal and external close-out submission deadlines.
Upload or manage documents within project management software (e.g., Procore, Levelset.)
Process accounts payable.
Process accounts receivable: prepare invoices, submit billing packages, and follow up on payments.
Reconcile vendor statements and resolve discrepancies.
Assist with lien releases and waivers.
Maintain accurate job cost files ensuring all transactions are properly coded.
Administrative & Support Duties
Communicate professionally with clients, vendors, subcontractors, and internal staff.
Provide general administrative office support as required.
Qualifications & Requirements Required
Experience in construction administration, construction accounting, or general contracting operations.
Proficiency with accounting software (Sage Inacct, Sage Paperless a plus).
Strong organizational skills with attention to detail.
Ability to manage multiple deadlines and work in a fast-paced environment.
Excellent written and verbal communication skills.
Preferred
Experience with project management platforms (Procore).
Knowledge of lien waivers, billing formats (AIA), and construction documentation.
Prior experience in bookkeeping within the construction industry.
Detail-oriented and thorough: Ensures accuracy in documents and financial entries.
Time and task management: Able to prioritize multiple projects simultaneously.
Problem-solving: Resolves discrepancies and drives deliverables to completion.
Team collaboration: Works closely with PMs, coordinators and accounting.
Professional communication: Clear, courteous communication with clients and subcontractors.
