Advancement Services Manager
Full‑Time Exempt
Reports to Director of Advancement
Starting Pay Range: $65,000-$72,000 annualized
Position Summary The Advancement Services Manager provides critical support for the Stars’ advancement team. This role manages the systems, data, processes, and logistical functions that drive fundraising, grants, donor engagement, volunteer events, and major organizational initiatives. The Manager ensures accuracy, efficiency, and consistency across all advancement activities, strengthening Stars’ capacity to secure funding and maintain strong donor relationships.
Key Responsibilities Donor Systems & Data Management
Manage DonorPerfect data integrity, reporting, database hygiene, and dashboard development.
Ensure gift entry and acknowledgment processes to guarantee timely and accurate stewardship.
Maintain donor records, contact information, pledge tracking, and segmentation lists.
Conduct regular data audits and produce reports for the Advancement Director, board committees, finance, and funders.
Partner with finance to reconcile revenue and ensure proper coding for all contributions.
Maintain the grants calendar, internal deadlines, and submission schedule.
Prepare standard attachments, program data, organizational materials, and required documents.
Pull data and coordinate outcome information needed for funder reporting.
Event Logistics
Coordinate registration systems, guest lists, sponsorship fulfillment, seating, and event‑day procedures.
Track auction and raffle items, donations, marketing materials, and event‑related inventory.
Support post‑event reconciliation, donor follow‑up lists, and reporting.
Serve as the primary coordinator for corporate and community volunteer days.
Manage schedules, supply needs, site assignments, and communication with volunteer partners and other departments including facilities.
Track volunteer attendance and compile impact metrics for reporting and stewardship.
Advancement Operations & Workflow
Develop and refine internal processes for grants, donor relations, events, communications, and department‑wide workflows.
Coordinate cross‑department tasks with Finance, Program Directors, Facilities, and the Stars School leadership team.
Support onboarding and coordination of external vendors, consultants, and interns.
Provide high‑level administrative and operational support to the Director, ensuring alignment across all advancement initiatives.
Other duties reasonably related to the position and Stars’ mission, as assigned.
Qualifications
3 years of experience in advancement services, fundraising operations, nonprofit administration, or a related field (5+ years preferred).
Experience with a fundraising CRM; DonorPerfect preferred.
Strong organizational, analytical, and project management skills.
Ability to manage multiple complex timelines with accuracy and follow‑through.
Excellent written and verbal communication skills.
Comfort working in a fast‑paced environment with multiple priorities.
Proficiency in Microsoft Office, Google Workspace, and project management software.
