Support Coordinator II – Surgery Clinic Admin – Full Time 8 Hour Days (Non‑Exempt) (Non‑Union)
University of Southern California seeks an experienced Support Coordinator II for its Ambulatory Surgery Clinic. The role coordinates multiple appointments across multi‑specialty services to ensure smooth patient flow and optimal satisfaction. This intermediate‑level position requires strong customer service, clerical skills, and the ability to handle a fast‑paced environment.
Essential Duties
Clerical:
Accurately enter information into computer systems.
Process new referrals in a timely manner including medical record acquisition, demographic entry, insurance verification, and authorization.
Schedule patient evaluations and clinic appointments (surgery, labs, diagnostics, consultations). Adjust schedules according to physician requests and patient needs.
Review the master schedule and anticipate changes to maintain operational flow.
Coordinate and schedule diagnostic testing, sending letters of medical necessity as needed.
Assist with filing and collection of supporting documentation for billing.
Provide phone coverage. Distribute messages via text, voice, and email; respond to emails and voicemail within 24 hours per protocol.
Patient Customer Service:
Display courtesy, compassion, kindness, and honesty when interacting with patients and staff.
Serve as the single point of contact for patients and caregivers, guiding them through scheduling, paperwork, and follow‑up appointments.
Conduct financial risk assessments and assist families with insurance benefits or alternative funding. Refer complex cases to financial counselors.
Prepare patient liability estimates and communicate changes to all involved personnel.
Facilitate communication between patients and the care team, working to resolve issues and accommodate patients.
Adhere to patient confidentiality policies.
Teamwork/Collaboration:
Cover for colleagues during sick leave or vacation.
Maintain open communication with managers and staff, demonstrating professionalism.
Stay up‑to‑date on changes within the USC healthcare system.
Act as a liaison between the department and hospital or physician staff.
Other:
Assist with onboarding and training new hires and physicians.
Support Clinic Manager with quality assurance, patient flow, data collection, projects, and reporting.
Audit, correct, and resubmit rejected charges; follow up on outstanding issues.
Perform additional duties as assigned.
Required Qualifications
High School diploma or equivalent.
Demonstrated experience in customer service, intake, and scheduling.
Proven record of dealing with the public in a service role.
Proficiency with word processing, Microsoft Outlook, intranet navigation, and interpretation of online queries; familiarity with GE Centricity Business, Cerner, PBAR, and scheduling systems.
Excellent communication skills in spoken and written English.
Highly flexible, proactive, efficient under pressure, and capable of teamwork.
Knowledge of insurance plans, coverage types, and government health programs.
Ability to process new referrals promptly and to schedule patients effectively.
Capability to work independently, take initiative, and handle continuous change.
Preferred Qualifications
Bachelor’s degree in a related field.
3–5 years of administrative or customer‑service experience in a medical office, preferably ambulatory care.
Knowledge of medical terminology.
Experience with insurance billing, admitting, or registration in a hospital or medical office.
Ability to speak Chinese (Mandarin or Cantonese) or Spanish.
Certified Medical Assistant (CMA) or equivalent certification.
Job‑relevant billing and coding certification.
Required Licenses/Certifications
Fire Life Safety Training (LA City). If a card is not received upon hire, one must be obtained within 30 days and renewed before expiration.
Hourly rate:
$25.00 – $39.69 per hour.
