Office & Administration Manager

Overview The primary purpose of this position is to provide office management and administrative support for the US WM Operations Senior Leadership team. The individual is responsible for creating an engaging office environment and positive interactions with all visitors and staff. The role involves extensive interaction with various business lines and functional units within the firm, providing service and support to both internal and external customers. The candidate will serve as a knowledgeable senior‑level liaison for Operations and RBC Wealth Management, ensuring that the office management and administrative support for the Senior Leadership team meets and exceeds industry and company standards for service, innovation, and professionalism.
Responsibilities
Oversee daily administrative and operational tasks of US WM Operations’ office space, manage office supplies, and maintain office facilities.
Liaise with Facilities, building management, external vendors and service providers to maintain office infrastructure and ensure timely high‑quality service.
Coordinate and maintain calendars for multiple parties, prioritizing meeting requests from colleagues and direct reports to avoid conflicts.
Handle office duties such as answering and routing phone calls, responding to emails, and addressing routine questions and requests from Operations employees, vendors and internal clients on behalf of Operations.
Assist the Operations Senior Leadership Team by managing large amounts of information, requests and competing priorities through administrative support.
Create and update documentation, including executive & senior leadership meeting agendas/minutes, presentations, spreadsheets, organizational charts and emails as needed.
Coordinate travel for Operations Senior Leadership, adjusting itineraries and arrangements as necessary.
Assist in planning, coordinating and/or leading Operations activities, meetings and events.
Required Qualifications
4‑year degree from an accredited university or equivalent OR high‑school diploma or equivalent AND 3+ years of securities, banking, technology, and/or job‑specific industry experience.
1+ year of prior securities, banking, technology industry and/or job‑specific related industry experience.
Full proficiency with MS Office (Word, Excel, PowerPoint and Outlook).
Comfortable in a position with visibility and interface with senior management/executives.
Strong leadership, facilitation, negotiation, verbal & written communication skills to engage senior executives.
Nice to Have
4‑year degree in business, finance or a related field.
Compensation and Benefits Good‑faith expected salary range: $50,000 – $85,000, dependent on experience, skills, registration status and business needs. Salary does not include discretionary bonuses, stock awards or additional compensation components such as a 401(k) with company matching, health, dental, vision, life and disability insurance or paid time‑off.
