Export/Import Documentation Clerk This role provides administrative and clerical support by preparing and processing basic shipping and customs documents. The position helps ensure that all export and import shipments comply with company procedures and international trade regulations.

Responsibilities

Prepare, review, and organize basic export/import documents such as invoices, packing lists, bills of lading, and certificates of origin.

Ensure accuracy and completeness of documents before submission to carriers, freight forwarders, and customs brokers.

File and maintain shipment documentation in both physical and digital formats.

Assist in coordinating with freight forwarders, shipping lines, and customs brokers for pickup, shipment, and delivery schedules.

Track shipment status and update internal systems accordingly.

Communicate with internal departments to collect shipment information.

Enter shipment and documentation data into company systems or spreadsheets.

Assist with report preparation and other clerical duties as needed.

Follow company procedures to ensure compliance with customs, export control, and international trade regulations.

Support the team in maintaining up-to-date records for audits and regulatory purposes.

Requirements

Associate’s or Bachelor’s degree in Business, Logistics, Supply Chain, or related field preferred.

2–3 years of experience in export/import documentation, shipping, or logistics support.

Strong attention to detail and accuracy.

Good organizational and multitasking abilities.

Effective communication and coordination skills.

Proficiency in Microsoft Office (Excel, Word, Outlook).
