The

Executive Assistant (EA)

serves as the strategic administrative partner to the CFO/COO, functioning as a "force multiplier" to optimize executive time and focus. This role requires an individual who thrives in a high‑velocity environment, capable of managing complex logistics with precision while maintaining absolute confidentiality.

While the primary directive is supporting the CFO/COO, this role acts as a central hub for the Executive Leadership Team (ELT), providing critical support for travel, office operations, and sales/marketing administration. This includes coordinating trade show logistics, managing marketing assets, and assisting with client‑facing documentation.

Responsibilities

Executive Calendar & Time Management

Strategic Scheduling:

Manage an active and fluid calendar for the CFO/COO; proactively resolve scheduling conflicts, prioritize high‑value interactions, and ensure the executive is equipped with agendas, bios, and read‑ahead materials prior to all engagements.

Gatekeeping:

Screen incoming communications (calls, emails, visitors) to determine priority, acting as the first line of defense to protect the executive’s time.

Meeting Orchestration:

Manage meetings, monthly business reviews, and ELT sessions by preparing materials and agendas, taking notes, and ensuring follow‑up actions.

Travel & Logistics (Concur)

Complex Travel Architecture:

Manage end‑to‑end travel arrangements for the CFO/COO and ELT members using SAP Concur. This includes domestic/international flights, hotel accommodations, and ground transportation.

Itinerary Management:

Create detailed itineraries for business trips. Act as the primary point of contact for real‑time troubleshooting (flight cancellations, rebooking) to ensure zero downtime.

Event & Trade Show Logistics:

Coordinate administrative aspects of industry trade shows and client events. This includes booking booth space, managing registration lists, coordinating shipping of booth assets/swag, and handling dinner reservations.

Marketing Collateral Management:

Maintain inventory of physical marketing materials (brochures, banners, promotional items) at the Fenton office; handle re‑ordering and shipping of materials to sales reps or event sites as needed.

CRM Data Hygiene:

Assist the Sales leadership with basic administrative updates in the CRM (NetSuite/HubSpot), such as updating contact information, scrubbing lead lists, or generating standard activity reports.

Presentation Polish:

Assist the Sales & Marketing team in formatting and proofreading client presentations and proposals to ensure alignment with corporate branding standards.

Administrative Operations & Reporting

Expense Reconciliation:

Prepare and submit monthly expense reports via SAP Concur for the CFO/COO, ensuring strict compliance with corporate travel policies and accurate coding.

Office Operations:

Provide minimal but essential oversight of the Fenton facility, including maintaining office supply inventories, managing mail/courier services, and serving as the primary liaison for building management or vendors.

Document Production:

Assist in the formatting and finalization of executive presentations (PowerPoint), spreadsheets (Excel), and formal correspondence.

Microsoft Office Mastery:

Expert‑level proficiency in Outlook (complex scheduling) is non‑negotiable. Strong proficiency in Word, Excel, and PowerPoint is required.

Expense & Travel Systems:

Proficiency with SAP Concur for booking and expense reporting is highly preferred.

CRM Familiarity:

Exposure to CRM platforms (e.g., NetSuite CRM, Salesforce, HubSpot) for data entry and reporting is preferred.

Collaboration Tools:

High proficiency with Microsoft Teams/Zoom for virtual meeting management.

Core Competencies

Anticipation & Proactivity:

The ability to "look around corners" to identify and solve problems before they reach the executive’s desk.

Operational Versatility:

The ability to switch gears instantly between high‑level executive support (Board Decks) and tactical logistics (shipping trade show booths).

Discretion:

Proven track record of handling highly sensitive financial and personnel information with absolute integrity.

Experience Minimum of 5+ years of experience supporting C‑Level executives (CFO, CEO, COO) or Senior VPs in a mid‑to‑large corporate environment.

Education Bachelor’s degree preferred, or equivalent combination of education and professional experience.

Location & Schedule Primary On‑Site Presence:

This role is anchored at the Fenton, MO office to facilitate immediate access and collaboration with the CFO/COO and ELT.

Hybrid Flexibility:

Remote workdays are permitted and supported, contingent upon the executive’s travel schedule, meeting cadence, and day‑to‑day business requirements.

Availability:

Must be accessible during non‑standard hours on an ad‑hoc basis to handle urgent travel disruptions or critical executive needs.
