The Executive Assistant & Board Liaison will provide comprehensive executive support to the President, ensuring smooth execution of both the day?to?day and the long?term administrative, operational and strategic functions. They will understand the goals of the president and the initiatives of the organization, including each department, and look for ways to smooth the runway for all. Responsibilities

Detailed Responsibilities
Manage complex calendars, appointments, and travel arrangements for the President. Handle all communications for the President and ensure that day?to?day functions run smoothly. Prepare briefing materials, reports, presentations, and correspondence for meetings. Track and process expenses and manage budget?related documentation. Coordinate and execute a variety of events from planning through to follow up, including speakers, venues, menus, AV requirements, travel, lodging, attendees, etc. Manage meeting agendas, communications, attendance and minutes. Communicate with donors and trustees and track their engagement. Write, send, and track internal and external communications. Foster positive relationships with institutional colleagues, donors, and other partners. Plan staff engagement meetings, events, volunteer opportunities, and team building experiences. Develop and implement strategies to connect departments within UCI to ensure collaboration. Attend senior staff meetings, track actions and follow up on deliverables. Work closely with all departments and understand their projects and goals. Work closely with the philanthropy team to assist with projects, mailings, and donor events. Represent University Circle Inc at various external meetings when requested. Work collaboratively with the President and the Senior Team to execute the organizations vision and regularly revisit strategies and objectives for the entire organization. Provide support for Board governance functions by maintaining bylaws, policies, committee charters, and other governance documents. Assist in managing databases that support the work of University Circle Inc. Create and distribute relevant content through networks to communicate organizational initiatives. Stay informed about community trends, issues, and opportunities to inform strategic planning. Stay current on industry best?practices to ensure the professionalism of the organization. Oversee various components of the Presidents budget. Manage one employees performance, growth, work outputs, ongoing development, goal achievement and performance reviews. Manage special projects and initiatives as assigned. Other duties as needed.
Preferred Qualifications
Bachelors Degree or equivalent work experience 4+ years of similar roles with increasing responsibility Excellence in systems management and organization processes Critical thinking skills Ability to work within teams and individually Proficiency in all Microsoft Office programs Project management experience Database management experience Customer service skills Excellent writing skills Excellent communication skills Passion for the community Strong team work ethic Belief in the work that University Circle is aspiring to do!
