Overview Perform administrative, secretarial, and clerical duties in support of assigned department.

Responsibilities

Answer phones and receive visitors; respond to routine inquiries and route callers.

Receive customer complaints and initiate corrective action or route to appropriate individual.

Prepare and/or type reports, schedules, lists, memoranda, forms, notices, subpoenas, logs, agreements, notes, statements, questionnaires, flyers, directories, worksheets, correspondence or related documents.

Copy and fax reports, notices, and related documents as required.

Maintain personnel files and records; prepare/enter payroll data into a computerized system for departmental employees; maintain employee training hours files; monitor attendance and vacation/sick leave; prepare records for retention and storage.

Stenographic, secretarial, and clerical duties perform assigned administrative functions.

Schedule appointments and maintain appointment calendars for assigned department.

Receive, route, and distribute incoming mail; answer routine correspondence; prepare and send bulk and certified mail.

Prepare agenda for departmental meetings; take and transcribe minutes.

Takes dictation; transcribes correspondence, statements, or related documents as needed.

File maintenance tasks; classify, index, file, and update correspondence, reports, notices, and related documents; maintain computerized database.

Data entry tasks and update computerized data; verify data and generate reports; perform research assignments as directed.

Order and maintain supply inventory; stock and distribute as appropriate; may pick up and deliver supplies as needed.

Prepare and process customer accounts, case assignments, applications, terminations, or related actions; accept receipts/payments and process as appropriate; complete related reports.

Assist in training other administrative personnel.

Serve on committees as directed.

Coordinate with other divisions/departments to exchange information or receive advice/direction.

Qualifications

High school diploma or GED required; one year related previous experience and/or training involving secretarial or general office tasks preferred.

Valid Georgia driver's license required.

Typing at least 30 wpm.

Data utilization: Ability to determine, calculate, tabulate, or summarize data/information.

Human interaction: Ability to provide guidance, assistance, and/or interpretation to others on how to apply procedures and standards.

Equipment, machinery, tools, and materials utilization: Ability to operate, maneuver and/or control equipment, machinery, tools, and/or materials.

Verbal aptitude: Ability to utilize a wide variety of reference and descriptive data and information.

Mathematical aptitude: Ability to perform addition, subtraction, multiplication, and division; calculate decimals and percentages; may require ability to utilize principles of fractions and/or interpret graphs.

Functional reasoning: Ability to carry out instructions furnished in written, oral, or diagrammatic form.

Situational reasoning: Ability to exercise judgment, decisiveness and creativity in various duties.

ADA Compliance Physical Ability: Tasks involve light physical effort; may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods at a keyboard or workstation.

Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds; visual perception and discrimination; oral communication ability.

Environmental Factors: Essential functions are performed without exposure to adverse environmental conditions.
