General Summary:

The Front Desk Coordinator will be responsible for overall front desk activities including management of the reception area, greeting patients, assisting patients with their needs such as completing registration, scheduling appointments, and handling patient/customer service issues to ensure an overall positive patient experience. This position is part time and the availability to work 20-25 hours a week is required.

Principal Duties and Responsibilities:

Greet/check-in & check-out and direct patients and visitors.

Schedule appointments, update patient information in practice management system and provide information to patients.

Process payments and handle patient complaints.

Build and maintain rapport with all referral sources.

Multi‑task and work in a fast‑paced environment.

Organize workflow and appointments by reading and routing correspondence, collecting customer information, and managing assignments.

Provide courteous and respectful interactions on the phone, via email or portal, and answer or refer all inquiries as appropriate.

Maintain patient confidentiality in compliance with HIPAA rules and regulations.

De‑escalate dissatisfied patients and offer patient assistance and support as needed.

Secure information by completing all necessary actions required within the assigned system and established procedures.

Utilize filing and retrieval systems to provide all historical reference required.

Contribute to team effort by accomplishing all related tasks as needed.

Always provide superior customer service excellence.

Remain flexible on behalf of the position and the team.

Interact positively and professionally with multiple departments within the practice.

Work both independently and within a team environment.

All other duties as assigned.

Education and Experience Requirements:

High School diploma, or equivalent, required.

1-2 years customer service experience required.

Excellent communication and organizational skills.
