Position Summary: We have an exciting opportunity to join our team as a Per Diem Secretary I – Intake/Scheduler (FGP) – Manhattan. In this role, the successful candidate will perform a variety of front‑end administrative tasks to support practice operations including greeting patients, answering calls, scheduling patient appointments and other administrative duties as needed.
Job Responsibilities
Schedules appointments for visits, treatments, and procedures.
Reviews appointment confirmation responses and manages waitlists.
Communicates to patients on upcoming scheduled visits, including instructions, preparation, and forms.
Obtains authorizations for services as needed.
Answers calls, takes messages, and routes messages to appropriate contacts in a clear and timely manner.
Handles faxes and mail.
Prepares standard letters and forms as needed.
Demonstrates knowledge of patient experience expectations and Service Standards.
Supports patient access activities such as greeting patients, collecting information, answering questions.
Answers phones and screens incoming calls; provides information and redirects as appropriate.
Maintains professional relationships with physicians, nurses, and office staff.
Prioritizes assignments to complete work in a timely manner amid changing workload.
Communicates appropriately in person, over the phone, and in writing.
Participates in training staff in registration and office policies.
Reviews in‑basket messages and patient emails before routing.
Provides patients with non‑clinical instructions for appointments/procedures.
Promotes the use and sign‑up of MyChart.
Follows scanning guidelines and best practices for importing documents.
Reviews the waitlist and ensures patients are called with offers.
Reschedules patients when physicians are out or blocking schedules.
Organizes and distributes mail and faxes.
Has general knowledge of practice/physician specialty.
Manages the physician's calendars and sends invites.
Releases medical records according to HIPAA and FGP ROI procedures.
Processes documents via paper and electronic records.
Completes forms accurately and forwards to correct destination.
Follows up with physician on outstanding messages.
Answers patient questions to ensure understanding.
Maintains confidentiality of privileged matters.
Refers questions relating to medical diagnosis or treatment to RN/provider.
Refers surgical and infusion scheduling to Senior Medical Secretary.
Prepares routine memoranda, labels, and manuscripts.
Receives prescription refill requests and tasks appropriate staff.
Communicates with pharmacies and patients to clarify prescription questions.
Initiates and follows up on pre‑authorizations, appeals, and peer‑to‑peer communication.
Manages Patient, Referral and Authorization work queues.
Obtains and documents referrals in EPIC.
Collaborates with other NYU Langone sites for seamless care.
Remains current on best practices, policies and protocols.
Maintains cleanliness of patient space.
Communicates scheduling instructions and status updates.
Assists with completion of special projects, reports and activities.
Patient Experience and Access
Serves as NYU Langone Health Faculty Group Practice Brand Ambassador.
Drives consistency through the FGP Service Strategy CARES.
Greets patients warmly, states name and role, and communicates each step.
Works collaboratively to ensure positive experience and timely resolution.
Applies the LEARN model for service recovery and escalates as needed.
Shares ideas for improving patient experience and access.
Partners with Patient Access Center and Central Billing Office.
Takes proactive approach for access agreement gold standard principles.
Performs related duties as needed by providers and supervisor.
Minimum Qualifications
High School Diploma or equivalent, required.
Excellent organizational, interpersonal, verbal and written communication skills and strong customer service orientation.
Basic knowledge of word processing, spreadsheets, databases and Internet applications.
Accurate keyboarding skills.
Ability to complete multiple tasks efficiently and thrive in teamwork.
Preferred Qualifications
Intermediate knowledge of computer‑based scheduling and appointment programs.
Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range of $29.16 - $29.16 per hour to comply with the New York state Law on Salary Transparency. Actual salaries depend on experience, specialty, education and hospital need. This range does not include bonuses, incentives, differential pay or other compensation.
