The Dean’s Office Assistant supports the Dean, Director of the Dean’s Office & Strategic Initiatives, and other senior leaders in the College. The role is a strategic partner that ensures effective communication, organizes meetings and events, advocates for the Dean’s initiatives, and manages confidential information with discretion. Responsibilities
30% – Serve as liaison with students, faculty, community; coordinate committees; support Faculty Coordinator Manager. 30% – Manage student information, schedule meetings, draft recommendations; communicate with Student Affairs; oversee recommendation letters and ethics statements. 30% – Provide research assistance: edit manuscripts, create PowerPoint presentations, manipulate Excel data, draft correspondence. 25% – Manage and protect the Dean’s calendar; authorize meetings; keep appointments conflict‑free. 25% – Initial contact for the Dean’s Office; direct inquiries and promote initiatives. 25% – Schedule and execute meetings, prepare agendas, coordinate minutes and event logistics. 25% – Liaison between the Dean, patients, and Dental Faculty Practice; manage scheduling and confidentiality. 25% – Coordinate Dean’s travel, accommodations, itineraries, and reimbursements; manage business purchase card. 10% – Maintain the Dean’s Curriculum Vitae, track task completion, manage time‑off requests. 10% – Perform other duties as assigned by the Dean or Director of the Dean’s Office. Minimum Requirements
A high school diploma with five years of relevant experience,
or
a bachelor’s degree with three years of experience in business management, public administration, or administrative services. Physical Requirements
Continuous: 6–8 hrs per shift – ability to perform job functions in an upright position; lift 15 lbs. unassisted. Frequent: 2–6 hrs per shift – ability to walk/mobile, work indoors/outdoors, bend at waist, squat. Infrequent: 0–2 hrs per shift – ability to work in confined spaces, use both hands, perform repetitive motions. Legal Statements
