Overview A dynamic organization is seeking an accomplished Executive Assistant to provide critical administrative and project support for senior leadership. The role requires a detail-oriented professional adept at time management, complex scheduling, and high-level communication. Candidates should be capable of efficiently managing calendars, travel logistics, meeting preparation, and a range of personal support tasks to enable executive productivity.

Key Responsibilities

Oversee the executive’s calendar, coordinate appointments, and handle scheduling conflicts with discretion.

Plan and facilitate all travel arrangements, including flights, accommodations, ground transport, and itineraries.

Prepare presentations, reports, agendas, and other materials for meetings and events.

Serve as the initial point of contact for internal and external stakeholders; manage correspondence and screen meeting requests based on established priorities.

Participate in meetings to capture detailed notes and ensure all action items are tracked and completed.

Bridge communications across multiple departments, ensuring smooth project workflow and timely resolution of outstanding tasks.

Compose and update process documentation related to recurring tasks and responsibilities.

Address both professional and occasional personal tasks, such as running errands or coordinating purchases, to support executive effectiveness.

Maintain and replenish office supplies and executive workspaces, ensuring availability of essential resources, including technology, food, and beverages.

Submit and reconcile expense reports promptly and with accuracy.

Attend and assist at offsite meetings and events as needed; provide logistical and on-the-ground support for the executive during these functions.

Core Qualifications

Demonstrated ability to organize and retrieve digital documents and maintain confidential databases.

Prior experience managing complex calendars, coordinating corporate travel, and overseeing multiple email accounts.

Exceptional attention to detail when recording meeting notes and outlining key action points for follow-up.

Capable of creating structured meeting agendas and delivering high-quality support materials.

Skilled at problem-solving and customer service, with a focus on developing practical, mutually beneficial solutions.

Willing to adapt work hours and availability according to special project or event needs, occasionally including evenings and weekends.

Responsive to communication outside typical business hours, as warranted by executive or project demands.

Preferred Background

Advanced degree in business or a related field is highly desirable.

Minimum of five years in an administrative or executive support capacity.

Active driver’s license and personal transportation required.

Physical Demands and Commitments

Primarily office-based work with extended periods at a desk or computer.

Up to 15% travel required for organizational functions and events.

Willingness to work a flexible schedule, which may include weekend participation approximately 50% of the time.
