Job Summary Provides project support, administrative assistance, and routine clerical services to Vice President, Director, and office staff by performing secretarial and clerical duties.
Essential Functions
Handles and maintains confidential information, records, reports, and personnel files.
Supports the annual budget process, including data entry.
Prepares, verifies, documents, enters, and reconciles items such as invoices, expense accounts, purchase cards in accordance with corporate procedures.
Acts as custodian of purchase card(s).
Prepares, completes, and submits requests for expense reimbursement and payments to vendors.
Creates and modifies presentations, graphics, reports, spreadsheets, charts, manuals, guides, and flow charts, updating data and variance explanations.
Accesses SAP systems to process, verify, or retrieve data and updates other databases.
Performs office administrative tasks such as tracking attendance, entering time, managing file storage/destruction, and ordering non‑stock office supplies.
Leads or supports company initiatives such as fund‑raisers and special projects.
Schedules, organizes, and coordinates arrangements including catering for meetings, conferences, seminars, presentations, appointments, and travel.
Coordines and schedules appointments for supervisor, manager, or director.
Makes travel arrangements, including itineraries, flight reservations, hotel and transportation for department personnel.
Provides clerical support such as faxing, photocopying, and distributing mail, documents, and reports.
Education
High school diploma or equivalent (minimum).
Experience
At least two years of related work experience.
