Part‑Time Bookkeeper & Personal Assistant – Private Family Office (Brentwood)
Base pay range:
$35.00/hr – $40.00/hr
Schedule options:
4 days/week (Mon, Tue, Thu, Fri, 9 AM–4 PM)
5 days/week (Mon–Fri, 6–7 hrs/day)
Key Responsibilities
Manage household expense tracking and account reconciliation using QuickBooks (non‑negotiable).
Maintain accurate categorization of transactions, track refunds, and keep accounts current.
Reconcile monthly bank and credit card statements; resolve discrepancies.
Generate categorized spending reports for principals as needed.
Maintain organized digital and physical files for statements, tax documents, and banking records.
Coordinate regular household service providers and schedule maintenance.
Maintain logs, records, and basic filing for home operations.
Support insurance renewals, vehicle records, and other administrative tasks.
Interact with service professionals, ensuring timely arrivals and access to the property.
Manage household calendars and align schedules with the principals’ corporate assistant.
Assist with booking appointments, confirming reservations, and preparing weekly/biweekly printed schedules.
Support domestic and international travel planning alongside a travel advisor.
Provide light personal‑assistant support such as correspondence, follow‑ups, and occasional small‑dog assistance.
Maintain a tidy and efficient home office, including organizing paperwork and preparing items for shredding.
Reset or update logins for household accounts and ensure secure password management.
Work proactively to keep systems, files, and recurring tasks running smoothly.
Must‑Have Qualifications
Advanced QuickBooks proficiency with proven experience managing reconciliations, rules, reporting, and categorization.
A stable, professional work history with excellent references.
Valid driver’s license and reliable personal vehicle.
Strong written communication skills and high attention to detail.
Comfortable working independently in a private home environment.
Highly organized, proactive, polished, and reliable.
